Position Summary

This position oversees the day-to-day operations of the Small Animal Emergency Front Desk staff. Responsibilities include preparing employee monthly work and on-call schedule by providing appropriate and adequate coverage Sunday to Saturday, 6am to 2am. This position is also responsible for leading initiatives to support and improve the overall client experience with our emergency service. Will work closely with the financial services department to make sure charges and payments are being captured and recorded correctly by the Emergency / Critical Care front desk team. In addition, processing and delivering client messages to medical staff so communication flows efficiently. This is a working supervisor position and will be scheduled within the shift rotations to augment services provided by the emergency front desk.

Knowledge, Skills, Abilities and / or Competencies

1. Proven ability to deliver excellent customer service, in a calm, professional manner, during challenging circumstances

2. Considerable knowledge of bookkeeping procedures; as well as the ability to make complex and arithmetic computations and tabulations accurately and rapidly

3. Ability to maintain effective collaborative relationships with faculty, staff, students, clients, and other stakeholders

4. Successful utilization of Microsoft Office Suite, especially Word, Excel, and Outlook. Ability to learn and become proficient in other needed programs such as Vetview

5. Proven knowledge of veterinary terminology

6. Excellent verbal and written communication skills needed, with strong multi-tasking skills

7. Ability to operate and maintain a multi-line phone system, as well as common office machinery such as a copier, scanner, fax machine, and printer

8. Able to maintain confidentiality with sensitive information

9. Ability to use critical decision-making skills to ensure efficient daily operations of the front desk

Physical Demands

1. Lift and carry up to 40 pounds both assisted and unassisted

2. Sit for long periods of time and use repetitive actions during the entire work day

3. Movement on different / uneven surfaces is common

4. Remember, organize, and consistently focus on large amounts of detail and come to appropriate conclusions

5. Bending / stooping in order to shelve and organize medical files
