Executive Administrative Assistant

Salary range 75K-90K, commensurate on experience

Key Responsibilities

  • Manage and maintain executive schedules, including appointments, meetings, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Handle incoming and outgoing communications on behalf of executives, including emails, phone calls, and mail.

Meeting Coordination

  • Schedule and organize executive meetings, including agenda preparation, meeting materials, and minutes.
  • Ensure executives are fully prepared for meetings by providing relevant documentation.
  • Coordinate logistics for both on-site and off-site meetings and events.
  • Travel Arrangements

  • Arrange detailed international and domestic travel plans, itineraries, and agendas.
  • Ensure all travel logistics align with company policies and accommodate any last-minute changes.
  • Office Management

  • Maintain and organize executive office operations and procedures.
  • Oversee office supplies and equipment, ensuring everything is well-stocked and functioning properly.
  • Handle sensitive and confidential information with the highest level of discretion.
  • Project Management

  • Assist in the planning and execution of special projects as needed.
  • Coordinate with various departments to ensure project milestones and deadlines are met.
  • Communication

  • Act as a liaison between the executive team and internal / external stakeholders.
  • Communicate professionally and effectively with all levels of staff and external partners.
  • Reporting and Documentation

  • Prepare executive-level reports, summaries, and documentation as needed.
  • Maintain accurate records and efficient filing systems.
  • Qualifications

  • Education : Bachelor's degree in business administration or a related field preferred.
  • Experience : Minimum of 10 years in an executive administrative support role.
  • Flexibility : Available for occasional non-standard work hours, including weekends and holidays as needed.
  • Clean MVR : Valid and clean driving record required.
  • Travel : Willingness and ability to travel internationally and domestically with notice.
  • Skills

  • Exceptional organizational and time management skills.
  • Strong written and verbal communication capabilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential matters with the utmost integrity.
  • Strong attention to detail and problem-solving skills.
  • Ability to work independently and collaboratively within a team.
  • Professional demeanor and appearance required.
