Position Purpose

The Billing Specialist assist to ensures accurate and timely preparation of invoices, progress billings, and related documentation to support the financial health of the company. This role is essential in maintaining compliance with contract terms, streamlining cash flow, and fostering positive client relationships through clear, professional billing practices. The Billing Specialist helps safeguard revenue, reduce errors, and support the overall success of commercial roofing projects.

Responsibilities

Preparation, review, and submission of accurate billing documents (progress billings, AIA forms, change orders, lien waivers).

Track and reconcile project billings, subcontractor invoices, payments and contract terms.

Communicate with production team and clients to prepare billings, apply payments and resolve discrepancies.

Work with Senior AR in month-end closing by reconciling billing activity and providing reports to the accounting team.

Work with Senior AR with reporting, compliance, and follow up requirements as needed.

Assist clients regarding billing status, collections, payment inquiries, lien releases, and all other related billing inquiries.

Maintain confidentiality of financial information and adhere to company policies and procedures.

Qualifications

5+ years of experience in billing, accounting, or accounts receivable; construction or roofing industry experience strongly preferred.

Proficiency in accounting software (e.g., Foundation, Sage, or equivalent) and Microsoft Excel.

Familiarity with construction billing and construction contract documentation a plus.

Familiarity with Notice to Owner, Lien, and Lien Release laws a plus.

Strong communication and organizational skills. Ability to meet deadlines.

Knowledge of AIA billing processes, lien waivers, and construction contracts.

Excellent communication and customer service skills.

Ability to work independently and collaboratively in a fast-paced environment.

Associate?s / Bachelor?s degree is a plus.

Full Time Position ? Wage range between $25 to $30 per hour based on experience.
