STORE MANAGER JOB Duties

Store Managers are responsible for all aspects of their stores’ performance, including with respect to sales, profits, losses, personnel, organization, appearance, public relations, and security.

Major duties and responsibilities of a store :

I. PERSONNEL

A. Recruits, interviews, screens, and hires, or recommends hiring of subordinate store employees.

B. Conduct initial training, continuous retraining, or training in new skills, policies, or procedures as appropriate; determine when new employees should be considered fully trained; train employees for advancement.

C. Evaluate employee performance, both formally and informally, as to both good and poor performance and in what areas and in what respects improvements is needed, and discuss this with the employee.

D. Issue oral or written reprimands or warnings to employees as to company policy as appropriate.

E. Discipline employees in other respects as appropriate, including suspension, demotion, termination.

F. Recommend raises for employees.

G. Recommend promotions for employees.

H. Enforce all personnel policies and operational policies and procedures as set forth by Management.

I. Answer employee’s questions as to policies, procedures, benefits, etc.

J. Investigate and resolve employee complaints, grievances, or conflicts.

K. Monitor employee turnover, and develop ways of reducing turnover and maintaining a stable store workforce.

L. Explain, implement and interpret new instructions, policies and / or procedures from Management.

M. Schedule and conduct periodic store employee meetings to discuss new matters or particular problems, to motivate employees, etc.

N. Ensure that employees accurately and properly record all hours worked.

O. Ensure compliance with all state and federal personnel-related laws, such as anti-discrimination statutes, wage and hour provisions, employee health and safety laws, etc.

P. Spot check employee performance at times when Manager is not scheduled to work, including conducting periodic shift performance reviews and cash audits.

Q. Terminate or recommend termination of store employees.

R. Prepare a store employee to function as Manager in absence of Manager.

S. As applicable, provide and explain all required pre-employment paperwork to applicants or new employees, and review completed

documents.

T. Insure that store employees understand and carry out their responsibility for contributing to effective operation of the store, and accomplishment of company’s goals.

U. Weekly Updates to Management on all the duties performed and recommend any changes to store operations.

V. Report the hours worked and tasks performed hourly / daily.

II. INVENTORY AND MERCHANDISING

A. Ensure that the store is adequately but not excessively stocked with merchandise at all times.

B. Evaluate all factors affecting inventory needs, including local preferences; neighborhood characteristics such as age, ethnicity, residential,

or industrial nature, etc.; seasonal needs; holidays; special events; supplier promotions; high or low volume items in the particular store; upcoming sales; customer requests; age of or need to rotate merchandise; etc.

C. Compile order with due regard for competing or differing needs, adjusting orders as to kinds and amounts of items based upon an evaluation of the relevant factors.

D. Effectively and creatively display merchandise to as to maximize sales.

E. Ensure that prices and codes on all merchandise are correct and in date.

F. Determine when to mark down or write off damaged, old or unsaleable merchandise.

G. Determine whether duplicate items should be maintained, whether items should be dropped or maintained at minimum levels, and take or recommend action as appropriate.

H. May be asked to monitor competitor’s activities as to pricing, merchandising, advertising, etc. and take or recommend responsive action as appropriate.

I. Review and monitor competitors gasoline prices on a daily basis.

J. Ensure that shelves are clean, and fronted at all times.

K. Ensure that displays and signs are consistent with merchandising goals and programs.

L. Ensure that products such as drinks and coffee are fresh and ready to serve.

M. Ensure that employees understand and apply proper plus-selling techniques.

N. Efficiently organize back room and cooler stock preserves.

O. Monitor vendor activities to ensure proper check in procedures, delivery of proper amounts, proper charges, and proper crediting of amounts to store and company accounts, and satisfactory vendor service as to such things as promptness, quality of merchandise and proper rotation; according to company policy and procedure.

P. Resolve and vendor problems with the individual vendor or the vendor’s Supervisor, or discuss the problem with Store owner, inform vendors of company policy and procedures and policies related to their activities.

Q. Maintain and analyze stock control or build up sheets on items such as beer, cigarettes, Skoal products, soft drinks, fountain drinks, coffee, cappuccino, fountain cups, etc. for adequate amounts, mix and freshness.

R. Ensure that excellent customer relations are maintained, including

training employees to greet, thank, or converse with customers and monitor their performance.

S. Implement any merchandising programs, and ensure that employees strive for success of such programs, including crew incentives.

T. Maintain or adjust store layout to maximize sales and to aid the attainment of company or store goals.

U. Discuss, investigate, and attempt to resolve customer complaints.

V. Ensure that coolers are stocked and well maintained.

W. Ensure that all inventories are handled in such a manner as to lesson the likelihood of theft or shortages.

III. FINANCIAL REPORTING AND ACCOUNTING.

A. Prepare and / or evaluate store-operating reports daily and verify accuracy of information. Maintain a good perpetual inventory, extending all invoices at retail taking into consideration markups and markdowns in various catagories.

B. Review and evaluate shift reports daily, and verify accuracy of information.

C. Prepare and evaluate banking documents, such as deposit slips and compare to store and shift reports.

D. Prepare and evaluate sales reports, merchandise reports, gasoline reports, invoices, lottery reports, vendor logs, employee purchases, cash reports, etc.

E. Review and analyze reports daily on store activities, expenses, performances, promotional changes, price changes, etc.

F. Compare and crosscheck all reports and documents for accuracy, consistency, and propriety, supporting documents, for any discrepancies.

G. Analyze all reports and documents to spot sales trends, unusual shift activity, store problems, etc., and investigate and take action upon any points or problems discovered, or recommend action.

H. Review, evaluate, and approve employee time reports for accuracy, efficient scheduling, efficient work, etc.

I. Compile and prepare special reports or analyses as requested my Owner.

IV. GENERAL STORE OPERATION

A. Ensure that the store operates in accordance to all Company policies and

procedures at all times.

B. Ensure that each shift operates in accordance with established hours of

business.

C. Recommend changes in store hours as appropriate.

D. Ensure that each shift is properly staffed at all times, including emergencies or during absences.

E. Plan and post a schedule for employees each week, taking into account shift business and work levels, seasonal fluctuation in shift loads, employee requests for time off, sales, holidays, or promotions, etc., and monitor attendance.

F. Determine most efficient allocation of store hours within guidelines consistent with adequate customer service and store staffing.

G. Ensure that general conditions of store meet high standards at all times,

including seeing that,

1. Windows, floors, counters, Gas Island, equipment, etc. are clean and uncluttered.

2. Grass is cut, lot is clean, and exterior of store is neat and presentable.

3. Adequate lighting, heating, and cooling is maintained.

4. Equipment is in proper working order, including coolers and refrigeration units.

5. All food service equipment is clean and in proper working condition.

H. Apportion, assign and establish the priority of work, taking into account customer counts and demands on various shifts, employee abilities, and so forth; establish performance standards and goals.

I. Ensure excellent customer service at all times.

J. Ensure that all employees understand and comply with liquor, health, lottery, Sunday sales and environmental laws.

K. Ensure that all licenses are in force and are properly displayed.

L. Control and minimize store expenses such as supplies purchased, bags,

merchandise converted to store use, utilities, written off or marked down

merchandise.

M. Determine the amount of and maintain a supply of cash and change sufficient to meet business needs.

N. Maintain telephone contact with store in off-hours.

O. Attend any meeting requested by Owner.

P. Mail or fax reports in a timely manner including S.I.R. reports.

Q. Arrange for repairs or maintenance and ensure that maintenance personnel perform properly.

R. Ensure that the premises are at all times safe for customers and

employees.

V. STORE SECURITY

1. Follow all the owner defined store security aspects. Company’s guidelines and procedures for maintaining gasoline inventories, S.I.R., and ensuring that all procedures for proper gasoline maintenance and inventories are followed.
