Administrative Assistant II, Occupational Therapy 999751

Xavier Universitys Department of Occupational Therapy invites applications for an administrative assistant to provide proactive and efficient support to our team and processes. The ideal person for the job is a problem-solver who displays initiative excellent communication skills and impeccable attention to detail. The successful candidate will demonstrate effective technology use time management resourcefulness and the ability to multi-task with a commitment to excellence in the functioning of a dynamic health care program. This is a full-time hourly position requiring 100% onsite work with a schedule of37.5 hoursper week. The anticipated start date for this position is mid-January 2026.

JOB RESPONSIBILITIES :

• Provide administrative support to Department Chair Program Leadership and faculty including scheduling and communications to ensure smooth and efficient daily operations of the Department.
• Administer and manage the budget including monitoring of relevant funds procurement of purchases and reconciling budget expenditures .
• Maintain accurate and organized data for program faculty and students including management and inventory of supplies and equipment.
• Assist with document preparation and maintenance of electronic records for compliance and accreditation.
• Coordinate program events meetings student activities and special projects.
