Summary :

As a Dispatcher at Larson Air Conditioning, you will play a critical role in ensuring our technicians are deployed efficiently and our customers receive timely service. By understanding technician skill sets, job types, and repair needs, you will optimize daily schedules, make real-time adjustments, and keep customers updated on technician arrival times. Your ability to prioritize, reschedule when necessary, and keep everything running smoothly will help drive our continued success. Key Responsibilities :

Scheduling & Optimization : Assign technicians to jobs based on their skills, job types, and repair needs, ensuring an efficient and optimized schedule each day.

Customer Communication : Update customers on technician arrival times, inform them of delays, and reschedule appointments as needed, ensuring a positive experience.

Job Coordination : Collaborate with technicians and internal teams to ensure all job details are clear and tasks are completed efficiently and on time.

Real-Time Adjustments : Make adjustments to schedules in response to last-minute changes, emergencies, or urgent customer needs, ensuring minimal disruption to service.

Data & Record Management : Maintain accurate records of job statuses, technician locations, and customer information to ensure smooth operations and easy access for team members.

Reporting : Track daily performance metrics, analyze scheduling trends, and prepare reports to optimize workflows and improve service delivery.

Process Improvement : Identify opportunities to improve scheduling processes, reduce downtime, and enhance technician utilization.

Collaboration : Work closely with other departments, including install, sales, service, and operations, to ensure all aspects of service delivery are aligned and running smoothly.

Qualifications :

High school diploma or equivalent; associate's degree in a related field is a plus.

Proven experience in dispatching, scheduling, and a customer service role (HVAC experience a plus).

Strong organizational, time-management, and multitasking skills.

Excellent communication skills, both written and verbal.

Exceptional customer service skills with the ability to manage client expectations effectively.

Ability to prioritize tasks and adjust quickly in a fast-paced environment.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Familiarity with scheduling software or platforms (ServiceTitan experience a plus).

Knowledge or interest in HVAC systems and services is a plus but not required.

Ability to hold others accountable.

A team player with the ability to collaborate effectively across departments.

Ability to remain calm and focused in high-pressure situations.

Adaptable and dependable.

Physical Requirements :

Ability to sit or stand for extended periods.

Occasional lifting of office supplies and equipment (up to 25 lbs).

Work Environment :

This role is based in an office setting, with occasional visits to job sites or warehouses as needed to support business operations.
