POSITION SUMMARY :
The Operations Manager serves as a positive member of the SJMC HIM Management team and is responsible for the day-to-day operations of the Operations staff and functions assigned by the Director of Health Information Management. This Manager shall be available to assist internal and external customers as necessary and appropriate and will be involved with the daily production processes to ensure that departmental objectives and timelines are met. Representation of the department / facility at meetings as requested and appropriate will be expected. This position should also be jointly involved in systems maintenance, upgrades, implementation and training.

KEY RESPONSIBILITIES :
Consistently supports and communicates the Mission, Vision, and Values of St. Joseph Medical Center.Follows the St. Joseph Medical Center Guidelines related to the Health Insurance Portability and Accountability Act (HIPAA), designed to prevent or detect unauthorized disclosure of Protected Health Information (PHI).Promotes a culture of safety for patients and employees through proper identification, proper reporting, documentation, and prevention of medical errors in a non-punitive environment.Supportive of the compliance program set forth by SJMC and demonstrated by :Upholds the Code of Ethics and Corporate Compliance.
Adheres to and helps to enforce all compliance policies relevant to his / her area.Assures timely compliance education as requested by the Compliance Officer and / or through corporate initiatives.Sets an example to all staff in their daily activities.Transcription : Resolve physician dictation issues and keep physician data updated in HIM systems.Release of Information : Act as Custodian of Records, ensure timely and accurate release of information, and appear in court when needed.Tumor Registry : Keep registry data current and attend cancer / tumor board meetings.Collaboration : Work with nursing and other departments to ensure smooth, timely processes.Daily Operations :Collect discharged patient records.
Coordinate audits and reports.Manage file storage and offsite record transfers.Submit required statistical reports.Handle record retrieval and audit queue placement.Perform quality checks on scanned images.Maintain policy compliance and record confidentiality.Support DNFB management.Staff & System Support :Help train staff on regulations and systems.Ensure proper staffing.Assist with system upgrades and training.HPF Management :Prep, scan, and index records within required timeframes.Monitor work queues and productivity.Use ICU to correct and upload images.Performance Monitoring :Assist with staff reviews.Track and report productivity.Take on additional tasks as needed.REQUIRED KNOWLEDGE & SKILLS :
WORK EXPERIENCE :
3 to 5 years Health Information Management experience, minimum 1 year HIM Management experience, acute care setting preferred.Thorough knowledge of current Release of Information regulations, HIPAA and HITECHLICENSE / REGISTRATION / CERTIFICATION :
Registered Health Information Administrator (RHIA)Registered Health Information Technician (RHIT).EDUCATION & TRAINING :
High School Diploma or equivalent.Graduate of an accredited HIM Program preferred.New graduates may be considered with aforementioned work experience.Individuals with aforementioned work experience and prior management / leadership experience may be considered.SKILLS :
McKesson STAR; Horizon Patient Folder; Dictation Systems; knowledge of regulations governing HIM roles and responsibilities.Report development; customer service skills; ability to mulit-task is essential; ability to work independently or as a part of a team; ability to work as a part of a multi-disciplinary team; ability to solve problems.Houston's oldest hospital is GROWING!
