Aquinas College is accepting applications for Campus Visit Coordinator & Enrollment Assistant.
Reporting to the Director of Admissions, the Campus Visit Coordinator is responsible for delivering outstanding visit experiences tailored to the needs of prospective students, their families, and other influencers. This position will also oversee the Student Ambassador program aimed at connecting current students with prospective ones to accurately convey the experience of being an Aquinas College student. As Office Manager, this position will be responsible for the general needs of the office, as well as assisting the Vice President for Enrollment Management with their calendar, phone and other duties.
ESSENTIAL JOB FUNCTIONS :
Coordinate meaningful personal visit experiences for potential students based on interests, needs, and enrollment funnel stage
Working with a variety of campus departments, identify high-quality institutional representatives and preparing them to engage in meaningful conversations with campus visitors
Establish and manage a variety of visit options for each stage of the college search process
Develop and maintain a scheduled communication plan for each visit opportunity, including confirmation, reminder, and follow-up messages
Ensure communication with admissions and campus staff regarding campus visits is delivered in a clear and timely manner
Assists in coordinating the Spectrum of Scholarships competition day of events with Director of Admissions.
Oversee a Student Ambassador program that authentically represents Aquinas to campus visitors and others considering enrollment
Select and develop engaging and skilled students to serve on a diverse and representative team of Student Ambassadors
Identify and implement opportunities for Student Ambassadors to utilize their individual strengths in support of the department’s recruitment and enrollment goals
Accurately log visit schedules and attendance using Technolutions Slate CRM
Evaluate effectiveness of visit experiences using both qualitative and quantitative data
Utilizing data, identify opportunities for improvements and / or adjustments to ensure a best-in-class visit experience
Assists the Vice President for Enrollment Management and Director of Admissions as needed, including calendar management.
Answers multiple inbound phone lines, assesses the needs of the caller and transfers the call to the appropriate individual / department on campus in a pleasant and professional manner.
Checks voicemail daily and returns messages or directs the message to the appropriate individual / department in a timely manner. Updates voice messages on the phone(s) as necessary.
Covers the front desk of the Admissions Welcome Area as needed.
Places supply orders.
Assists with data entry, event registration, duplicate resolution and additional tasks in CRM (Technolutions Slate) as needed.
Provides back-up assistance in appropriately routing or responding to emails sent to the general admissions email address.
Other projects as assigned based on department needs
QUALIFICATIONS :
Bachelor’s degree required, with degree in communications, marketing, or related fields preferred
Outstanding communication and organization skills. Attention to detail is crucial.
Ability to manage multiple tasks and projects in a fast-paced and high-pressure, high stakes environment
Able to take a lead role in the creative development of new programs
An openness to undertaking new roles based on needs of the department and personal skill set
Strong commitment to collaboration
Willingness to step beyond prescribed duties as needed to support the efforts of a team in pursuit of its goals
Ability to work nights and weekends as needed
Experience as a campus tour guide or ambassador a plus
