JOB DESCRIPTION SUMMARY
The Spa Receptionist supports daily Spa operations in accordance with standards set by management. This role provides clerical and administrative support to Spa Management and assists in all areas of front-of-house operations. Coverage of front desk and spa shifts may be required as needed. This position requires weekend and public holiday availability, as well as a flexible schedule.
ESSENTIAL DUTIES AND RESPONSIBILITIES :

- Assist management staff with daily Spa operations.
- Support front desk functions including guest check-in / check-out, payment collection, retail sales, and spa service reservations.
- Address escalated customer concerns and ensure timely, professional resolution.
- Complete, maintain, and process required paperwork, logs, and records.
- Work closely with Management to address guest issues while safeguarding Spa and assets.
- Ensure accurate and timely completion of all front desk audit functions.
- Effectively manage spa rooms, Therapists schedules, and facility usage to maximize operational efficiency and profitability.
- Assist with maintaining and updating inventory of office supplies.
- Organize and support office operations; perform clerical tasks including typing, filing, proofreading, creating documents, and sorting mail.
- Manage guest and member communications and provide guest appeasement when necessary.
- Input and update guest information in the Spa Software system.
- Assist in training new and existing employees to ensure efficient department operations.
- Assist with inventory and ordering of retail items and back bar supplies.
- Provide exceptional service to guests and internal clients.
QUALIFICATIONS & PREFERRED EXPERIENCE :
Experience using spa software systems; Book4Time experience preferred.Lead or supervisory experience preferred.Previous spa or wellness industry experience preferred.Strong communication and guest-service skills.Ability to multitask in a fast-paced environment.Professional appearance, demeanor, and reliability.
