About the Position

The Online BSBA Program Coordinator is housed within the Online BSBA Program Office, a unit of the College of Business & Economics (CBE) Student Success & Support Center. This role coordinates the Online BSBA program, which is a component of the Special Sessions programs. This position oversees office management, leads Online BSBA staff, preparation of schedules, maintenance of program reports and statistics, which includes retention and graduation rates, determination of eligibility to the program, preparation of program evaluations, advising, and general day-to-day operations.

This position regularly communicates and collaborates with the CBE Office of Undergraduate Advising and Advising Resource Center to maintain standard advising practices and support for all Business Administration students.

Responsibilities

Program Coordination

  • Manage day-to-day operations of the BSBA Online program and lead office staff and student assistants. Run BSBA Online staff meetings, and participate in broader staff meetings, professional development workshops, and training consistent with unit plans, goals, and objectives, as a means to enhance performance, improve communication, and promote teamwork.
  • Monitor BSBA Online staff performance and morale and provide feedback to the appropriate administrator.
  • Provide and participate in training, mentoring, and instruction to build BSBA Online staff competencies to support their work with students, staff, and faculty.
  • Exercise professional judgement and expertise coordinating day-to-day functions of the BSBA Online program.
  • Work directly with CBE Department Chairs, Assoc. Dean, Dean, Program Coordinator of B.S. in Business Administration, and University Extension Leadership to prepare the quarterly and annual schedules of BSBA Online courses.
  • Interpret, enforce, and advise all students or prospective students, faculty, staff, and the general public, in group and individual sessions, regarding the BSBA Online degree and related University academic policies, procedures, laws, and regulations.
  • Provide relevant training to those needing more in-depth assistance.
  • Assess the BSBA Online program to identify areas for improvement and provide recommendations to the Associate Dean, BSBA Program Coordinator, and Dean. Collaborate with the CBE Office of Undergraduate Advising to implement necessary changes and ensure consistency across all program formats.
  • Develop timelines and calendars that are clear and communicate to appropriate University partners, maintaining active involvement with other University offices to meet shared goals.
  • Oversee maintenance of BSBA Online reports (such as the “Admitted and Registered”), log curriculum materials for planning, advising, and evaluation purposes.
  • Partner with the CBE Office of Undergraduate Advising and the Advising Resource Center to ensure consistent advising practices and coordinated support for all Business Administration students.

Admissions, Advising, and Registration

  • Oversee process of determining major-related eligibility to the BSBA Online program and notify the Admissions Dept. Notify students of final decision and provide students with a personalized plan for degree completion.
  • Oversee comprehensive program-related service and advice for potential, current, and returning students for the BSBA Online degree.
  • Direct the notification of students for registration in new courses or sections, including how they may be used in specific concentrations, as well as other data which affects the BSBA Online students.
  • Disseminate current and accurate BSBA Online program and related University registration data (deadlines, registration, policies, etc.), to students, faculty, and staff to promote timely enrollment.
  • Track students from admission through graduation, to calculate retention and graduation rates for planning and reporting purposes.
  • Statistical Data, Recruitment, and Curriculum

  • Provide Dept. Chairs, Assoc. Dean, Program Coordinator of B.S. in Business Administration and Dean with statistical data for planning purposes.
  • Prepare reports using metrics to quantify students' progress in the BSBA Online Program.
  • Provide and analyze metric data for specific groups of students within the BSBA Online Program, for AACSB reaccreditation purposes.
  • Conduct student surveys for assessment of the BSBA Online program.
  • In conjunction with the CBE Dean’s Office, Program Coordinator of B.S. in Business Administration, and the CBE Marketing & Communications, implement the agreed upon strategies, goals, and objectives for marketing, recruitment, and outreach.
  • Formulate and implement strategies to improve retention and graduation rates. This includes presenting specific webinars for Online Orientation, "At Risk" students (on probation, and / or not making progress towards completion), and continuing students.
  • Manage BSBA Online program participation in outreach and recruitment programs, in partnership with CBE and Student Outreach.
  • Participate and represent CBE at events to support the transition of new or prospective students.
  • Work closely with other University Departments (including, but not limited to Admissions, Advising Resource Center, Academic Resources & Planning, Office of the Registrar, and academic departments), to coordinate participation and cooperation in programs associated with the BSBA Online degree, and all CSUEB and legislative initiatives related to transfer and student success.
  • Manage content listed on printed materials and websites that relate to the BSBA Online program.
  • Facilitate selection criteria for the BSBA Online Merit Award, create application and set timeline, notify students, as well as University offices which must take relevant actions, on a quarterly basis.
  • Office Support

  • Support the overall success of the CBE Student Success & Support Center by performing additional duties as assigned.
  • Represent the College at key university events such as Orientation, Commencement, Preview Day, and Welcome Day, including occasional evening and weekend commitments.
  • Provide training and guidance to advisors, administrative support staff, and student assistants as needed.
  • Actively participate in University, College, and advising-related meetings, workshops, training sessions, webinars, and professional development opportunities.
  • Serve as an engaged member of CBE, University, and University Extension committees, including the BSBA Steering Committee, and maintain strong partnerships with CSU campuses and feeder institutions.
  • Minimum Qualifications

    Experience

  • Possession of these knowledge and abilities is typically demonstrated through the equivalent to four years of
  • progressively responsible professional student services work experience which includes experience in advising

    students individually and in groups, and in analysis and resolution of complex student services problems.

  • A master’s degree in counseling, Clinical Psychology, Social Work, Education or a job‑related field may be substituted for
  • one year of professional experience.

  • A doctorate degree and the appropriate internship or clinical training in counseling, guidance or a job‑related field may be substituted for two years of the required professional experience for positions with a major responsibility for professional, personal or career counseling.
  • Education

  • Equivalent to graduation from a four-year college or university in a related field plus upper division or graduate course work in counseling techniques, interviewing and conflict resolution where such are job related.
  • Required Qualifications

    Skills

  • Detail oriented.
  • Strong and clear written and verbal communication.
  • In-depth knowledge of Microsoft Office Suite, Google Suite, MyCSUEB, Salesforce, Zoom and advising technology.
  • Demonstrated experience in strategic planning.
  • Demonstrated experience in compiling statistical data and presenting data in a clear and comprehensive format.
  • Abilities

  • Demonstrated ability to build strong, collaborative relationships with faculty, staff, and colleagues within the BSBA Program Office, CBE, and across campus.
  • Foster an inclusive and supportive work environment that values cultural diversity and promotes equitable engagement with individuals from all backgrounds.
  • Ability to establish a strong positive rapport with prospective and current students, and communicate accurate information regarding admission, registration, major and graduation requirements, and other related processes.
  • Ability to lead a team and communicate the vision of the program, creating clear goals and purpose.
  • Ability to work evenings and weekends for special events, when needed.
  • Condition(s) of Employment

    Satisfactory completion of a background check (including LiveScan, as appropriate), that may include, but is not limited to : criminal records check, verification of academic credentials, licenses, certificates, credit history, professional references and / or verification of work history is required for employment. Cal State East Bay will issue a conditional offer of employment to the selected candidate, which may be rescinded if the background check reveals disqualifying information, and / or it is discovered that the candidate knowingly withheld or falsified information. Unsatisfactory results may also affect the continued employment of current Cal State East Bay employees who were conditionally offered the position.

    All background checks are conducted through the university's third party vendor, Accurate. LiveScan is conducted through the University Police Department.
