DEPARTMENT OVERVIEW

The University of California and its 10 campuses are poised to enter a new phase of engagement in Sacramento, with a brand new system-wide hub, the UC Student and Policy Center (UCSPC), bringing together UC faculty, researchers, and students with state leaders and policymakers in the heart of the California's capital city, Sacramento, California. In the coming years, the Center will be activated by a highly visible, public-facing program of topflight speakers, debates, briefings, and panels designed to speak to major policy issues of our time, by policy work conducted on behalf of the State of California and the legislature, and by the groundbreaking work of UC students and faculty throughout the UC system. Administered by the Office of the President and activated by researchers and students from across the UC system, the UCSPC is located within walking distance of the State Capitol in Sacramento and serves as a lively civic space for events, debates, gatherings, meetings and more. The Center will be a locus for drawing attention to collaborative policy research efforts within and between the campuses, and a conduit for making that research available to state policymakers. The mission of the public-facing program is to harness all that the world's most celebrated public university has to offer to policymakers in the capital and to be recognized in the media for this effort.

POSITION SUMMARY

Reporting to the UC Student & Policy Center (UCSPC) Director, the Event Logistics Assistant will be responsible for ensuring the smooth execution of events through comprehensive logistical support. The primary focus of this role is to perform the logistical set up and breakdown of events, ensuring that all materials, equipment, and supplies are in place and transported as needed. The assistant will also provide on-site support to the Director and Event Coordinator during events and assist in drafting and distributing communications about programs occurring at the UCSPC. The ideal candidate will be organized, detail-oriented, and capable of managing multiple tasks in a dynamic environment. This position is an on-site role at the UC Student & Policy Center located at 1115 11th Street, Sacramento, CA 95814.

Responsibilities

  • 50% Logistical Support and Setup : Perform the setup and breakdown of event spaces and furnishings, including moving furniture, tables, chairs, and equipment for events in multiple spaces, managing transportation of and storage of materials, arranging equipment and supplies, and ensuring that all logistical aspects of the event are in place before, during, and after the event. Ensure that all logistical elements are in place prior to the event, including verifying the event layout, confirming the availability of and arranging necessary tables and chairs, and preparing the space for smooth event execution. Dismantle event setups after the events have been concluded, ensuring that all furniture and equipment are returned or stored, and the event space is cleaned and cleared in a timely manner and arranged appropriately. Photograph events and keep even t promotional materials organized.
  • 20% On-Site Event Support : Provide on-the-ground support during events, and work with the Director and Event Coordinator to assist in managing the flow of guests, and troubleshooting any issues that arise to ensure a positive experience for attendees. Coordinate the arrival and exit of attendees throughout the event to ensure a seamless experience. This may include staffing and overseeing registration desks, directing guests to event areas, removing trash, cleaning spills, and managing lines or crowd control. Address any unexpected issues that arise during the event. Monitor the event space for safety hazards, ensuring that health and safety regulations are followed, and respond appropriately in case of an emergency.
  • 30% Event Communication Support : Draft and assist in circulating event-related communications, including UCSPC program newsletter, web site updates, and social media posts related to events.

Experience

Required Qualifications

  • Min 1 year e xperience in logistics, such as handling event setup and breakdown, and moving and managing furniture for events, equipment and supplies.
  • Min 1 year p rior experience working directly at events, interacting with guests, handling event flow, managing attendee and host needs, and troubleshooting logistical or technical challenges in real-time.
  • Min 1 year e xperience with Microsoft Office Suite (Word, Excel, etc.) and Power Point and Google Docs and Slide.
  • Experience drafting written descriptions of events, including newsletters, social media posts, or web site information.
  • Preferred Qualifications

  • Experience posting professional social media, preparing newsletters, or updating web sites .

  • Ability to efficiently manage multiple tasks, and coordinate logistics, ensuring all logistical aspects of an event are executed smoothly and according to plan.
  • Strong analytical and quick-thinking skills to identify issues and implement immediate solutions during event preparation and on-site execution, ensuring minimal disruption.
  • Excellent verbal and written communication skills for clear and professional writing interaction with team members and attendees, ensuring seamless coordination and understanding of event needs.
  • Ability to prioritize tasks, manage deadlines, and adapt to changing circumstances, ensuring all aspects of event logistics are completed on schedule.
  • Proven ability to work effectively with cross-functional teams and stakeholders, maintaining a positive and cooperative environment to achieve event success.
  • Preferred Qualifications

  • Ability to manage multiple tasks, coordinate logistics, and track event details effectively, ensuring nothing is overlooked.
  • A keen eye for detail to ensure all event logistics, from set up to take down, are handled smoothly and professionally.
  • Quick thinking and the ability to address and resolve issues as they arise during event planning or execution, particularly on-site.
