Job Overview

Our focus is the provision of superior consulting services to the home care and hospice industry, and our Administrative Assistant role is a key position within our organization.

We are currently seeking a highly motivated, dynamic candidate who is looking to work in a rapidly growing, fast-paced company. He or she will be responsible for providing administrative support for the firm and will focus on a number of key duties including : formatting and processing client deliverables (Word and PowerPoint), answering phones and taking in sales leads, general data management and administrative project support.

This position will report to the firm's Administrative Supervisor.

Responsibilities

Additionally, the Administrative Assistant is responsible for all or part of the areas outlined below :

  • Reviews and processes proposals for formatting, structure, grammar and spelling.
  • Set up client accounts in NetSuite, OpenAir, and SharePoint.
  • Answers telephone calls and routes them to the correct team / individual within the organization. This includes taking in customer sales calls and entering their information into Salesforce.
  • Organizes and maintains file system for presentations, client deliverables and proposals.
  • Prepares outgoing mail and correspondence, including emails and faxes.
  • Takes notes during management and leadership meetings and redistributes them to attendees including recording all key takeaway items.
  • Multiple systems login management.
  • Maintains supplies inventory by checking stock to determine inventory level and anticipating needed supplies.

Qualifications

A highly qualified Administrative Assistant candidate should have a Bachelor's degree or equivalent combination of education and experience. The candidate should also have excellent analytical, computer and communication skills. The ideal candidate will possess :

  • Proven skills in Microsoft Office, specifically Word, PowerPoint, Excel and Outlook
  • Ability to provide efficient, timely, reliable, and courteous service for both internal and external customers. A positive attitude is a must.
  • Excellent inter-personal skills to thrive in a team-oriented environment, exhibiting a "Think Team First” mentality.
  • Excellent written and verbal communication skills with attention to detail
  • Able to problem solve and be solution-focused
