Office Coordinator

The Position

The Office Coordinator performs administrative and office support activities for multiple supervisors. Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. Extensive typing and software skills are required, as well as Internet research abilities and strong customer communication skills.

Administrative Assistant

High Payoff Activities : The Office Coordinator answers incoming calls, proactively engages with customers regarding scheduling of work as well as payments, reaches out to vendors and appropriate parties with repair requests, files, faxes, scans, receives and distributes the mail, orders office supplies and keeps cleaning supplies stocked. They assist in preparing payroll for processing, work scheduling, and some light phone sales activities.

Additional Responsibilities : The Office Coordinator works closely with management as well as the sales & production team to ensure good flow of communication and data.

Key Performance Metrics : AR Aging Ratio, AP Aging Ratio, Timely Billing Processing, Timely Payroll Processing, Managing within the Budget, Audit Compliance, Contact Management Ratios & Employee Retention.

Wage Range : $18 to $22 per hour. This position may have some seasonality to it with hours consistently in the 30-40 range per week. As the role expands and grows with the company, additional compensation may be offered.

Reports to : The Office Coordinator reports directly to the General Manager and / or Owner.

Education, Experience & Expectations : They must be self-motivated, proactive attitude; anticipate needs and takes initiative to solve problems. The Office Coordinator must have excellent written and verbal communications. They must be responsible, organized, detail-oriented and manages time effectively. This position requires proficiency in Word, Excel, PowerPoint, and Outlook.
