RFI Security is seeking a highly organized and detail-oriented Administrator to manage the critical administrative, financial, human resources, and compliance functions of our operation. This is a full-time (40 hours / week) hybrid role with fixed on-site hours for core duties and remote flexibility for remaining tasks. The successful candidate will be the operational backbone of the company, ensuring regulatory compliance and efficient business support for our leadership team and security personnel.
RFI Security is a small security guard and associated services firm operating since 2022 with a workforce of approximately 75 individuals. As an administrator of a small business, the ideal candidate will be able to adapt and assist with duties that may not be expressly spelled out in the description below.

Compensation : $48,000 - $56,000 Annually + Benefits
Work Schedule
- On-Site Hours : Monday - Friday, 8 : 30 AM to 2 : 00 PM (27.5 hours / week). Office is at a new office location which RFI is moving into January 2026 near Brookhaven, GA.
- Virtual / Flexible Hours : The remaining hours to complete a 40-hour work week may be performed remotely, based on operational needs and management approval.
- Please note : Some, but not many, weeks might require a full 40 hours on-site and / or a few Saturday / Sunday hours, but these situations are rare.

Dress Code : The standard dress code for all on-site work is Business Professional. Attire must be neat, professional, and appropriate for an office environment in a professional environment.Punctuality : Strict adherence to the 8 : 30 AM to 2 : 00 PM on-site schedule is required.Confidentiality : Due to the sensitive nature of financial, HR, and compliance records, strict confidentiality and adherence to all company data privacy policies are mandatory.Key Responsibilities and Duties
1. Financial and Billing Management
Manage and execute the full accounts payable cycle, including reviewing, processing, and paying company bills, invoices, and general expenses.Maintain accurate financial records and documentation for all transactions in QuickBooksLiaise with external accounting services as necessary.2. Compliance and Regulatory Adherence
Ensure the company maintains strict compliance with all applicable state licensing board requirements for security operations and personnel.Manage all corporate insurance policies (e.g., liability, workers' compensation, vehicle) to ensure coverage is current and appropriate for business needs.Handle the renewal and application processes for all necessary licenses, permits, and certifications.3. Operations and Equipment Management
Oversee the acquisition, assignment, maintenance, and tracking of all company equipment.Manage the company vehicle fleet, including scheduling maintenance, repairs, registration, and tracking usage logs.Administer inventory and assignment of communication devices such as radios and mobile phones.4. Human Resources (HR) and Employee Management
Serve as the primary point of contact for routine HR administration and employee inquiries.Assist with employee onboarding and offboarding procedures, including required paperwork and equipment issuance / retrieval.Maintain and update confidential employee records, ensuring compliance with privacy regulations.5. General Office Administration and Leadership Support
Perform general office duties, including managing supplies inventory, vendor relations, and mail management.Coordinate internal meetings and prepare necessary reports or documents.Perform any other duties assigned by RFI Security's Managing Member or President to support business goals.Qualifications
Experience : Minimum of 2 years of proven experience in an administrative, operational, or office management role, preferably within a security or regulated industry.Skills : Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with QuickBooks is strongly preferred for financial management tasks.Attributes : Exceptional organizational skills, meticulous attention to detail, a proactive work ethic, and a high degree of integrity for handling confidential information.Education : High school diploma or equivalent required; an Associate's or Bachelor's degree is a plus.Bonus : Prior marketing or content creation experience is a highly desirable bonus. Candidates with proven marketing skills may be eligible for expanded responsibilities and additional compensation for supporting company promotion and outreach.Reporting Structure and Benefits
