Overview

The Scheduling Coordinator I will collect patient and treatment information, estimate deposit requirements, provide cost estimates, determine patient liability, establish payment arrangements, and coordinate payment arrangement information for outpatient and day programs with non-par payer sources.

Responsibilities

  • Schedules new and follow-up patient appointments.
  • Answers phones, directs calls as needed, takes messages, returns calls to answer inquires / questions, and provides accurate and timely follow-up.
  • Ensures that new and follow-up appointments are confirmed prior to the date of service.
  • Ensures clinic(s) waitlist letters are sent to parents / families in a timely fashion.
  • Continually monitors scheduling. Moves patient appointments if necessary to maintain the highest level of efficiency and patient satisfaction.
  • Maintains and updates scheduling templates for all providers, to include personal leave requests.
  • Tracks all new and follow-up patients using the scheduling system and works with providers and other Care Centers to ensure proper scheduling related to patient needs.
  • Maintains regular contact with patients, clinics, and departments regarding pending insurance clearances, coverage, issues, and / or follow-up activity. Responds to patients, families, and clinic issues in a timely and professional manner.
  • Provides routine financial counseling and seeks assistance from the supervisor when obtaining answers to resolve patient issues.
  • Maintains a general and updated understanding of insurance requirements as they relate to the Care Center.
  • Retrieves and assesses system information related to insurance authorization for patient services from the Care Management Operations department.
  • Collects, tracks, and processes quality improvement and patient tracking data as needed.

Qualifications

EDUCATION :

  • High School diploma or equivalent required.
  • Associate or higher degree in human services, healthcare administration, or related field preferred.
  • EXPERIENCE :

  • 1-3 years’ experience with patient registration, scheduling, and / or coordinating patient services required.
