Position Summary
We are seeking a detail-oriented and customer-focused Accounting Specialist to support our Finance / Accounting department with a focus on accounts receivable . This role is responsible for managing customer intake, processing deposits and final payments, coordinating financing transactions, and ensuring the accuracy and timeliness of collections. This position requires strong communication and organizational skills to collaborate cross-functionally with sales, production, and customer service teams.
Key Responsibilities
Accounts Receivable Management
- Manage intake of new customers, ensuring accurate and complete collection of payment information
- Process customer deposits and final payments in accordance with project timelines
- Reconcile and apply payments from financing institutions with precision
- Monitor and follow up on overdue accounts
Customer Communication
Serve as primary point of contact for customer payment inquiriesProvide professional, timely, and clear responses to customersSupport customer service team in addressing financing and payment concernsFinancing Coordination
Understand processes of various financing institutions used by the companyAccurately record and reconcile financed paymentsPartner with external financing providers to resolve any discrepanciesCollaboration and Reporting
Communicate and coordinate with sales and production teams to align project and payment timelinesMaintain thorough records of all payment processes and transactionsSupport process documentation and internal reporting needsCollections
Identify delinquent accounts and execute collection strategiesEnsure proper documentation of all collection activitiesMaintain compliance with company policies and regulatory requirementsProcess Improvement
Identify and propose improvements to enhance accuracy and efficiency in accounts receivableHelp implement best practices across the payment and collections lifecycleRequirements
Education & Experience
High school diploma or equivalent requiredBachelor’s degree in accounting, finance, or related field preferred3 to 5 years of experience in accounts receivable or a related accounting functionExperience in the home improvement or construction industry is a plusTechnical Skills
Proficient in Microsoft Office Suite, especially ExcelExperience with accounting software (e.g., QuickBooks, Acumatica)Interpersonal & Organizational Skills
Strong written and verbal communication skillsHighly detail-oriented with exceptional organizational skillsAbility to work in a fast-paced environment and meet deadlinesCollaborative mindset with a proactive approach to solving problemsAdditional Qualifications
