Title : Project Manager - Photo Coordinator

Location : Providence, RI (on-site)

Type : 1099 Contract

Length : Through End of Year (potential to extend)

Pay : $28 / hr-$30 / hr

Primary Purpose

Represent Marks and support our client photo needs. building partnerships and collaboration with both creative and content teams and client vendors. Serve as the primary liaison between the agency and the vendor for samples product samples, working exclusively on a dedicated client’s business from our near site agency office.

As the Project Manager – Photo Coordinator, you are responsible for supporting the asset management and photography preproduction decks for sample photoshoots. Your support in gathering outstanding assets and maintaining an understanding of the project management process and whether items are ready for photoshoots is integral to the completion of the projects. You will support the account director to ensure at least 3 photoshoots are occurring on a monthly basis.

Reports to : Design Account Director

General Overview

The Project Manager will work closely with the office manager for inbound samples and the Account Director to support the photography needs of the client. Clearly understand design process and limitations of the CGI and photo teams per the contract to collect and organize each round of shots. Following up with vendors on a regular basis for outstanding assets and working closely with the Account Director to understand special needs for items outside of agency scope. Work as the main point of contact for vendors and photo studios along with internal project management team to support the photo needs within their timelines.

Responsibilities

ASSET MANAGEMENT

  • Follow up with vendors on outstanding assets as needed, clarifying requirements when questions arise
  • Working alongside the office manager to record receipt of assets and help maintain organization of samples within the Providence agency office.
  • Gather and photograph assets as needed for preproduction decks to be shared with the photo studios
  • Follow up with project managers on their timelines and photo needs to ensure timely delivery of final shots
  • Mail out samples to appropriate studios prior to shoot dates to ensure timely delivery

COMMUNICATION

  • Effectively communicate with photo studios on upcoming shoots
  • Work alongside producers to ensure photo / CGI / retouching costs are accurately designated and recorded
  • Share created preproduction decks with the team prior to shoots to ensure there are no questions
  • Provide tracking for samples for all parties
  • Loop in client contacts as needed for outstanding assets
  • Follow up with photo teams to ensure timely delivery of assets. Communicate between photo and design teams as needed for approvals or design assets needed to complete retouching tasks
  • BUSINESS ADMINISTRATION

  • Create preproduction decks to share with photo / CGI teams including sample image and design intent
  • Generate accurate table of contents for each deck, ensuring all data is up to date
  • Maintain photo / CGI studio file spreadsheets to align with upcoming shoots
  • Maintain internal design agency spreadsheets for asset delivery records
  • Assign photography tasks to the Account Director for billing on a regular basis
  • Success in the Role

    Success in this role is achieved by attention to detail, understanding of the design process and photography / CGI limitations. Clear and consistent communication with internal team and vendors is integral to the success of this position. Attention to deadlines and being able to navigate an evolving and fast-paced environment is paramount.

    Education / Experience Requirements

  • Bachelor degree or currently studying for a bachelor degree in Marketing or related field
  • Relevant experience in Production / Project Management in a design, packaging or engineering agency environment preferred but not required
  • Understanding of the creative and production process, and CPG / packaging design and manufacturing experience is a plus
  • Demonstrated ability to facilitate timelines and key deliverables across teams
  • Superior organizational skills with proven ability to manage large volume of assets across vendors and categories.
  • Excellent interpersonal and communication skills, both written and verbal
  • Proficient using Mac OS, and Microsoft Products; and project management / routing programs
