Title : Accounts Payable and Administration Specialist
Reports to : Accounting Manager
Annual Salary : $40K to $60K - DOE

JOB OVERVIEW
The Accounts Payable and Administration Specialist will be responsible for processing, reviewing, and accountability of all financial transactions and direct support to the Accounting Team and Executive Leadership Team. Activities include accountability of all credit card transactions, managing invoices and payments, reconciliation, serving as the first point of contact for all visitors, and other administrative office duties as needed. The Accounts Payable and Administration Specialist has a strong understanding of Accounts Payable, Administrative functions, and exceptional customer service skills.
ESSENTIAL DUTIES AND RESPONSIBILITIES
ACCOUNTS PAYABLE
- Responsible for the daily management and receipt of all vendor invoices; ensuring required information is accurate, recorded, and exported for Accounts Payable (AP) processing
- Works as part of a team to ensure subcontract certified payroll and insurance tracking is accurate and completed in a timely manner
- Completes a review and summary of weekly bank deposits and assists with bank account reconciliation
- Responsible for receiving and recording all credit card receipts to assist with monthly credit card reconciliation
- May be asked to assist with the review, importing, and processing of weekly payroll
ADMINISTRATIVE
Serves as the first point of contact for welcoming visitors to the company and provides exceptional customer service to VIPs, customers, vendors, and employeesResponsible for tracking, accountability, and documentation for all company vehicles to include registration, insurance, and maintenance receiptsAssist with coordinating all office meetings and events; responsible for setup and cleanup of conference room and other meeting locations, and assist with preparing all required materialsResponsible for the monthly audit and reporting for all office equipment and ordering necessary office supplies or service orders to keep equipment operationalAssists with other office duties and errands as neededRequired Skills / Abilities :
Excellent verbal, written, and interpersonal communication skillsAbility to operate independently and meet all required deadlines (i.e. accounting deadlines, payroll submission, etc.)Ability to read, interpret and apply rules, regulations, policies and procedures within a heavily regulated industryAbility to apply strong analytical and problem-solving skills to complex situations and positively affect overall outcomesProficient with Microsoft Office Suite or related softwareEducation and Experience :
REQUIRED
High school diplomaDriver’s license and clean driving record1 year of office administrative experience1 year of accounting experiencePREFERRED
