Job Description

Job Duties

Answers telephone and disburses callers in a friendly, prompt and professional manner. Conveys messages accurately and appropriately.

Prepares incoming medical record information for provider visit.

Retrieves and disburses messages.

Schedules, cancels, reschedules and confirms patient office visits in an accurate manner and according to office scheduling procedures.

Provides patient education as needed for the scheduled test / procedures.

Handles routine billing questions as they arise and forwards more complex questions to the Mercy billing office as appropriate.

Responds to medical record requests in a timely manner.

Demonstrates a general understanding of the different insurance carriers (including Title 19 and Medicare) and their eligibility requirements.

Utilizes and has full knowledge scheduling software and the fundamentals of the clinical software.

Cross covers for other clerical staff as needs arise.

Maintains work area in a clean, neat and orderly manner.

Follows Mercy's safety guidelines, carries out job-specific safety duties and responsibilities, and promptly reports any unsafe conditions, situations, incidents and injuries.

Department Specific Duties

Gastroenterology Clinic :

Maintains physician schedule in the scheduling software and in outlook.

Creates weekly meeting agendas, with input for the team, records and distributes meeting minutes.

Orders office supplies.

Hematology / Oncology :

Maintains physician schedule

utilizing scheduling

software.

Orders office supplies.

Checks in patients arriving at office, checks out patients from appointments.

Routes physician dictation.

Scans medical records into the patient's chart.

Medical Cancer :

Maintains provider's schedule utilizing scheduling software.

Orders office supplies.

Checks in patients arriving at office, checks out patients from appointments.

Routes physician dictation.

Scans medical records into the patient's chart.

Gains prior authorizations through patient's insurance.

Documents patient's pedigree & family history information within EPIC.

Enters information for testing via lab website.

Mercy Cardiology Clinic :

Maintains physician schedule in the scheduling software and in outlook.

Creates weekly meeting agendas, with input for the team, records and distributes meeting minutes.

Orders office supplies.

Mercy Cardiothoracic Clinic :

Maintains physician schedule, including meetings and administrative duties, in the scheduling software and in outlook.

Checks in patients arriving at office and checks out patients from appointments.

Orders office supplies.

Schedules surgeries.

Mercy Center for Memory Health :

Maintains clinical team schedule, including meetings and administrative duties, in the scheduling software and in Outlook.

Checks in patients and checks out patients.

Orders office supplies.

Mercy ENT Clinic :

Maintains physician schedule, including meetings and administrative duties, in the scheduling software and in outlook.

Checks in patients and arriving at office and checks out patients from appointments.

Orders office supplies.

Mercy Family Counseling :

Conducts UA's as directed by clinical staff (Sedlacek).

Retrieves and enters all prescription requests into Epic, calls pharmacies as needed and when applicable, notifies client / patient when prescription is ready for pick-up (MFC / OP).

Understands all department work queues and assists support team by completing tasks as assigned.

Completes ordering procedures for office supplies.

Assists support team members with scanning required documents into Epic.

Returns phone messages from providers to patients / clients promptly and following provider guidelines in Epic.

Cross trains on all task areas including prior authorizations, no show letters, claim edit and referral work queue, etc.

Enters all demographic, insurance and appointment information into Epic when scheduling and / or checking clients / patients in for appointments.

Demonstrates an understanding of EAP contracts and

eligibility verification

requirements.

Utilizes Epic scheduling and in-basket functions per clinic policies.

Mercy Pediatric Cardiology Clinic :

Maintains physician schedule, including meetings and administrative duties, in the scheduling software and in outlook.

Orders office supplies.

Checks in patients arriving at office and checks out patients from appointments.

Mercy Pediatric Clinic :

Maintains physician schedule in the scheduling software and in outlook.

Orders office supplies.

Mercy Plastic Surgery Clinic :

Maintains and verifies patients insurance.

Checks in and out patients for appointments.

Scans medical records into the patient's chart.

Schedules lab and imaging appointment as directed.

Facilitates distribution of provider call schedules.

Facilitates price estimates for patients.

Manages co-pay collection and cash drawer process within EPIC.

Orders office supplies.

Assists with scheduling procedures to be performed in the operating room as needed

Mercy Pulmonology Clinic :

Maintains physician schedule in the scheduling software and in outlook.

Creates weekly meeting agendas, with input for the team, records and distributes meeting minutes.

Orders office supplies.

Mercy Urology Clinic :

Maintains physician schedule, including meetings and administrative duties, in the scheduling software and in Outlook.

Orders office supplies.

Checks in patients arriving at office, checks out patients from appointments.

Maintains and accurately balances cash drawer on a daily basis.

MMC General Surgery :

Maintains physician schedule in the scheduling software and in outlook.

Creates weekly meeting agendas, with input for the team, records and distributes meeting minutes.

Orders office supplies.

Neurosurgery Clinic :

Maintains physician schedule in the scheduling software and in outlook.

Creates weekly meeting agendas, with input for the team, records and distributes meeting minutes.

Orders office supplies.

Obtains vital signs using automatic equipment and document.

Occupational Therapy :

Completes ordering procedures for office supplies.

Understands all department work queues and assists support team by completing tasks as assigned.

Assists support team members with scanning required documents into Epic.

Returns phone messages from providers to patients / clients promptly and following provider guidelines in Epic.

Cross trains on all task areas including prior authorizations, no show letters, claim edit and referral work queue, etc.

Enters all demographic, insurance and appointment information into Epic when scheduling and / or checking clients / patients in for appointments.

Utilizes Epic scheduling and in-basket functions per clinic policies.

Physical Therapy :

Completes ordering procedures for office supplies.

Understands all department work queues and assists support team by completing tasks as assigned.

Assists support team members with scanning required documents into Epic.

Returns phone messages from providers to patients / clients promptly and following provider guidelines in Epic.

Cross trains on all task areas including prior authorizations, no show letters, claim edit and referral work queue, etc.

Enters all demographic, insurance and appointment information into Epic when scheduling and / or checking clients / patients in for appointments.

Utilizes Epic scheduling and in-basket functions per clinic policies.

Demonstrates an understanding of EAP contracts and eligibility verification requirements.

Assists clinicians as a second person as needed for patient care.

Assists with stocking linen in rooms, cleaning treatment rooms, and clinic organization.

Radiation Center :

Maintains physician schedule

utilizing scheduling

software.

Orders office supplies.

Checks in patients arriving at office, checks out patients from appointments.

Routes physician dictation.

Scans medical records into the patient's chart.

Sedlacek Center :

Conducts UA's as directed by clinical staff (Sedlacek).

Knowledge, Skills and Abilities

Excellent communication and customer service skills, computer skills, organization, time management, attention to detail and the ability to remain poised and efficient in a fast-paced environment.

Professional Experience

One year of relevant customer service experience preferred, previous experience in a medical office setting preferred.

Education

High School Diploma or equivalent preferred.
