Opportunity to work as an Executive Assistant, this is more of a Junior Executive Assistant reporting to a Partner. Our client handles accounting for the Entertainment industry and are located in Sherman Oaks. We are looking for someone who has bookkeeping skills as well as Executive Assistant skills, so more of a hybrid role.
This position is located in the San Fernando Valley in Sherman Oaks.
Responsibilities include but not limited to :
Billing clients
Preparing invoices
Generating statements
Printing and sorting
Mailing & emailing
Answering phones courteously, screening Partner & Firm Administrator calls
Entering Partner time sheets daily
Setting up new clients in Axcess, adding to Workstream, and recording in Outlook
Processing credit card payments
Calendaring events
Monitoring Partner schedules
Welcoming Clients (escorting to conference room if here for a meeting, offering a beverage)
Greeting Vendors (screening them and helping if here for servicing equipment, plants…)
Scheduling client meetings in person and on Zoom
Corresponding with clients as directed via phone or email
Contact and correspond with various tax agencies via phone, email and written correspondence as directed.
Anticipate Partner needs and provide timely assistance in whatever capacity is called for
Recording and saving client source documents
Preparing and sending via DocuSign questionnaires / organizers / engagement letters / paperless agreements
Assembling and sending via DocuSign tax returns
Tracking tax returns and efiles
Entering CCH charges
Collecting A / R as directed
Ordering office supplies as directed
Ordering food for office events (monthly birthdays, partner meetings etc.)
