We are seeking a detail-oriented and compassionate Onboarding Specialist to join our Human Resources Department at a mission-driven healthcare nonprofit. This role plays a vital part in ensuring a smooth and compliant onboarding experience for new hires who provide care and support to our community.
The ideal candidate has prior healthcare onboarding experience, excellent communication skills, and a strong understanding of compliance requirements such as background checks, health screenings, and credential verification.
Key Responsibilities
- Serve as the main point of contact for new hires throughout the onboarding process.
- Guide employees through pre-employment requirements including background checks, health screens, immunizations, and compliance documentation.
- Coordinate with department managers, HR staff, and Occupational Health to ensure all new hires meet regulatory and organizational standards.
- Maintain accurate employee onboarding files, ensuring completion and compliance with state, federal, and organizational requirements.
- Schedule and facilitate new hire orientations and assist with first-day logistics.
- Update and track onboarding progress in the HRIS system; escalate any delays or issues to management as needed.
- Communicate clearly and compassionately with candidates to provide updates, clarify requirements, and support a positive experience.
- Collaborate with the broader HR team on process improvements and special projects related to recruitment, retention, and employee engagement.
- 2+ years of experience in an HR, onboarding, or talent acquisition role, preferably in a healthcare setting.
- Working knowledge of healthcare hiring and onboarding requirements, including background checks, health screens, and credential verification.
- Strong organizational skills with attention to detail and deadlines.
- Excellent communication and interpersonal abilities, with a professional and approachable demeanor.
- Proficiency with HRIS systems (e.g., UKG, ADP, Paylocity, or similar) and Microsoft Office Suite.
- High school diploma required; associate or bachelor’s degree in human resources or a related field preferred.
