Job Description : A stable and mission-driven organization is seeking a dependable Administrative Assistant —ideally with SharePoint expertise —to support its grants management operations. This role provides critical administrative, clerical, and scheduling support to the grants and contracts team, contributing to meaningful public health work. Responsibilities include maintaining calendars, managing the SharePoint site, data entry, reporting, meeting coordination, and supply management.
Skills Required :
Perform data entry related to public health grants such as PHIG, ARPA, Health Disparities, or ELC (e.g., quarterly progress reports, annual renewals).
Coordinate in-state and out-of-state travel arrangements in collaboration with designated travel coordinators.
Serve as SharePoint lead for the grants office : maintain and improve the SharePoint site, including content updates, file organization, and archiving.
Collaborate with other departments to align and streamline joint SharePoint sites for usability and integration.
Manage a master calendar and provide support with meeting logistics (scheduling, room reservations, agendas).
Take meeting notes and provide administrative support during meetings.
Handle supply orders, inventory tracking, and workspace organization.
Submit telecom and ergonomic assessment service requests.
Assist with asset tracking and check-in / check-out procedures for supplies.
Support contract administrators in typing contracts and coordinating documentation for new grant opportunities.
Schedule interviews and prepare related documentation.
Maintain the unit manager’s calendar and assist in preparing PowerPoint presentations and board-related materials.
Distribute monthly agendas and maintain records of board actions.
Perform other assigned administrative duties.
Skills Preferred :
Familiarity with government systems such as Hyland (Agenda Management), Advantage Financial, OnBase, and Business Objects.
At least 1–2 years of clerical or administrative support experience.
Experience working in a government or public health setting.
Experience Required :
Proficiency with MS Office 365 (Word, Excel, Outlook, PowerPoint, Teams, SharePoint).
Experience with Microsoft Planner and advanced SharePoint functionality.
Previous experience in government or public health environments is highly desirable.
Education Required :
High school diploma or GED required.
Associate’s degree in Business Administration, Office Management, or a related field preferred.
