About Full Moon Acupuncture :
We’re a small, growing acupuncture clinic dedicated to helping patients find lasting relief and balance — specializing in pain relief, pregnancy and birth, women’s health, children and family care. Through acupuncture, bodywork, Chinese herbs, and nutritional counseling and supplements, we provide thoughtful, long-term care for the whole person.
About the Role :
We’re looking for a detail-oriented, proactive Clinic Coordinator who’s passionate about creating exceptional customer experiences and helping people feel comfortable. You’ll play an essential role in keeping our clinic organized, calm, and welcoming — supporting both patients and practitioners so the day flows smoothly.
You should have excellent attention to detail, strong communication and organizational skills, and a genuine interest in natural medicine. We value self-starters who are creative, natural problem solvers, and eager to learn — people who take initiative, offer thoughtful ideas to improve how we work, and help us be the best healers we can be.
What You’ll Do
- Oversee and manage daily office operations, including (but not limited to) :
- Provide attentive, professional care to patients, serving as the first and last point of contact during each visit.
- Manage phone, email, and text communication with clarity and care
- Schedule appointments and coordinate the clinic calendar
- Keep patient files, rooms, and front office organized and ready
- Process payments, invoicing, and insurance information. Including light bookkeeping and data entry (training provided)
- Track and restock herbs, supplements, and clinic supplies
- Manage special projects and help identify ways to improve daily operations
Skills & Experience
Excellent attention to detail, multi-tasking, and organizational skillsCommunicate clearly and professionally with patients, acupuncturists, suppliers, and insurance companies — by email, phone, and in person.Experienced in office management, administrative assistance, and customer service.Detail-oriented, organized, and able to juggle multiple tasks with ease.Proactive problem solver who’s not afraid to ask questions or seek help when needed.Strong computer skills — comfortable with MS Office, Gmail, and Google Drive.Familiar with (or eager to learn) tools like QuickBooks, MailChimp, Office Ally, and Jane.Basic social media and marketing experience is a plus.Genuine interest or background in natural and holistic medicine.Role Details :
Clinic Coordinator Schedule :
Mondays 11 : 30pm-8pmTuesdays 11 : 30am-8pmWednesdays 10 : 30am - 7 : 00pmThursdays 10am-5pmFridays 11 : 30am - 4 : 30pmNote : This position could be structured as one full-time role or two part-time roles, depending on candidate availability and scheduling needs.
Location : Full Moon Acupuncture, Oakland, CA. This is an exclusively in-person position (not remote / work from home)
Pay : $22–$26 / hr — competitive pay for the right person, with room to grow as the clinic expands.
