Position Overview :

We are seeking a highly organized and detail-oriented Administrative Support Specialist to provide clerical and operational support to the Fleet Garage Technicians and Supervisor in our Indiana garage. The ideal candidate will bring strong administrative expertise, advanced organizational skills, and the ability to manage multiple priorities while ensuring compliance with established procedures. This role plays a vital part in supporting daily operations, managing documentation, and maintaining smooth workflow for the team. Key Responsibilities :

  • Provide comprehensive administrative support including scheduling, calendar management, correspondence, filing, and report preparation.
  • Support daily operations of Fleet Garage Technicians and Supervisor, ensuring accuracy in clerical and administrative processes.
  • Process and manage expense reports, invoices, and related charging guidelines with a high level of accuracy.
  • Manage time entry systems and ensure timely, accurate reporting.
  • Coordinate business travel, meetings, and logistics for staff.
  • Maintain knowledge of licensing requirements and ensure compliance for fleet operations.
  • Support Work Order management including data entry, updates, and monitoring progress.
  • Assist with storm support operations, providing timely clerical and logistical support as needed.
  • Serve as backup to other regional work management specialists within Indiana during absences or vacancies.
  • Answer and route incoming calls, emails, and visitors while maintaining professionalism and confidentiality.

Desired Experience & Skills :

  • years of administrative or clerical support experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with Power Automate, Maximo, CAPs, MyTime, and Expense Management tools preferred.
  • Strong organizational and time-management skills with the ability to prioritize multiple tasks.
  • Detail-oriented with excellent accuracy in handling invoices, expenses, and data entry.
  • Knowledge of garage operations, licensing requirements, and / or parts management is a plus.
  • Strong communication skills with the ability to work collaboratively across teams.
  • Education :

  • High school diploma or equivalent required; additional training or coursework in business administration preferred.
