Perdue Brandon Fielder Collins & Mott, LLP in Houston TX i s seeking an experienced Office Manager to be responsible for the general operation of our Houston office. The main objective for the Office Manager is to oversee administrative, HR, and litigation support functions across our Houston, Conroe, Angleton, and San Antonio offices. This role is pivotal in ensuring operational efficiency, compliance, and a positive employee experience.

To be a successful hire, prior experience in office administration is required with the ability to handle a wide range of administrative duties and executive support-related tasks. The candidate should be proficient in Microsoft Office applications such as Word and Excel as well as have the ability to learn new programs.

Essential Responsibilities & Duties :

Timesheet & PTO Management

  • Approve timesheets for payroll processing across all offices.
  • Enter time change requests and process PTO requests.
  • Track and maintain PTO balances.

Office Management

  • Investigate and resolve personnel matters in litigation, call center, and special districts.
  • Manage FMLA and Leave of Absence cases.
  • Maintain personnel files and documentation.
  • Collaborate on employee appreciation events.
  • Conduct coaching and corrective action meetings.
  • Prepare TWC responses and lead appeal hearings.
  • Recruiting & Onboarding

  • Post job openings for legal assistants, file clerks, receptionists, and special districts roles.
  • Review applications, conduct phone and onsite interviews.
  • Manage pre-employment onboarding and 45-day onboarding period.
  • Set up e-filing and idiCore accounts for new hires.
  • Ensure accurate Tax user profiles for legal assistants and file clerks in Firm's collection system.
  • Litigation Support

  • Monitor legal assistant productivity.
  • Oversee training and annual assessments for legal assistants.
  • Prepare monthly Docuware reports and annual client reports.
  • Manage general office email account and distribute litigation-related emails.
  • Collaborate with attorneys and litigation staff to identify, troubleshoot, and resolve operational and case-related issues.
  • Qualifications and Skills :

  • Minimum 5 years of experience in office management.
  • Proven experience in office management, HR, or legal administration.
  • Proficiency in HRIS, document management systems, and Microsoft Office Suite.
  • Excellent organizational, communication, and leadership skills.
  • Ability to manage multiple priorities across different office locations.
  • Self-starter with a proactive approach to assignments, ability to solve problems with limited supervision, prioritize tasks and meet deadlines
  • The ability to drive project schedules from start to finish, including managing peers and upper management
