SUMMARY :

Create, implement and direct contract administration procedures and policies in supporting the Quality Policy and Customer satisfaction. Compare quotes to new contracts and generate job numbers for release to manufacturing. The Contract Administrator must be able to explain the respective role within the QMS and how their role contributes to quality (Ref. Quality Procedures) The Contract Administrator shall also be aware of ethical behavior and conduct themselves accordingly to Karman policies and procedures.

Responsibilities & Authority

  • Ensure compliance with AS9100 procedures and actively support continuous improvement initiatives.
  • Build and maintain bid files (electronic and physical) and manage the bid log; assist with proposal writing and submission processes.
  • Administer contracts, including sales order entry and job file creation (electronic and printed); distribute sales order packages to relevant departments.
  • Develop spreadsheets, charts, reports, and presentations using Microsoft Office Suite to support production control and operational planning.
  • Generate shipping documents and notifications.
  • Maintain proficiency in Microsoft Outlook, Excel, and Word.
  • Communicate effectively—both written and verbal—with customers, suppliers, peers, and management.
  • Manage purchasing and inventory of office equipment, supplies, and subscriptions.
  • Coordinate client meetings, supplier visits, teleconferences, catering, and travel logistics.
  • Organize and maintain a high volume of electronic and physical file folders.
  • Work required hours to meet deadlines : Monday–Friday, 7 : 00 AM–5 : 00 PM; occasional Saturdays as needed.

Preferred but not required :

  • Familiarity with Epicor ERP, Exostar, contract administration, and process planning in aerospace manufacturing.
  • Education & Experience

  • Bachelor’s degree (or equivalent work experience).
  • Minimum 2 years of experience in contract review and administration.
  • Minimum 2 years of experience in generating and managing accounts receivable reports.
  • Experience with Epicor ERP and negotiation practices is highly desirable.

  • Highly detail-oriented and organized with strong interpersonal and communication skills.
  • Assertive and professional demeanor with the ability to interact effectively across all levels of the organization.
  • Comfortable with direct communication and collaboration with internal stakeholders.
  • Ability to receive and apply formal training related to customer requirements and procedural updates.
  • Understanding of Quality Management System (QMS) fundamentals, including reporting, record keeping, and procedural compliance.
