Position Overview
This is a hands-on, execution-driven role that requires exceptional 360-degree project management abilities. Unlike positions where production oversight is limited, this studio requires a deeply involved, start-to-finish project manager who can shepherd exhibitions, installations, fabrications, and studio projects through every stage : planning, scheduling, communication, vendor coordination, logistics, and on-site execution.
The ideal candidate is resourceful, highly organized, proactive, and deeply passionate about the arts, with the ability to manage multiple complex projects simultaneously in a fast-paced environment.
Key Responsibilities
- Manage the artist’s professional and personal calendar
- Schedule meetings, appointments, and studio visits
- Organize complex domestic / international travel
- Draft and manage correspondence on behalf of the artist
- Maintain organized workspaces and office systems
- Oversee light-touch and high-touch renovations across properties
- Attend meetings, assist with client relations, and prepare follow-ups
- Run personal and professional errands as needed
- Lead 360-degree project management for exhibitions, installations, fabrications, and major studio initiatives
- Coordinate across internal teams, fabricators, curators, vendors, shippers, and external partners
- Develop and maintain production schedules, timelines, budgets, and deliverables
- Ensure all projects move efficiently from concept to completion, anticipating challenges and proposing solutions
- Supervise artwork inventory systems and shipping logistics
- Oversee studio supply management, equipment maintenance, and general operations
- Support property maintenance and coordinate vendors / contractors
- Maintain budgets, process invoices, and prepare expense reports with bookkeepers and accountants
- Organize and maintain digital and physical archives, documents, and filing systems
Requirements
Bachelor’s degree or equivalent experienceMinimum 4 years of support experience (PA, EA, studio or project management)Strong project management and production experience in an art, creative, or cultural environmentExcellent organizational, time management, and communication skillsAbility to manage complex projects from planning through executionProficiency in Microsoft Office Suite and Google WorkspaceDetail-oriented, solutions-driven, and able to multitask in a fast-paced environmentExperience with property or facilities coordination a plusFamiliarity with art-related tools and workflows (Artlogic, Notion, Adobe Creative Suite, art handling, gallery / museum practices) preferredSOCIETY STAFFING
