Job Description
The Residency Program & Administrative Coordinator for Psychiatry Department is a vital role in Psychiatry Department's operations and residency program. The Department is looking for a team player with exceptional organization and communication skills.
Administrative Office Responsibilities :
- Prepares payroll and tracks residents / employees time off.
- Arranges for all Human Resources and Medical Staff credentialing of new employees.
- Assists with planning, distribution and implementation in the preparation of hospital and department-wide surveys. Assist with the preparation of corrective active plans.
- Prepares and submits legal papers, motions and official notifications to the court.
- Communicates with hospital and patient attorneys to coordinate the legal process and effect timely, accurate preparation of legal documents for the court.
- Coordinates with Medical Records, Staffing, Security, Social Work, unit staff and Physicians to arrange for patient’s transportation to court for varies hearings.
- Communicates regularly with PhyCare billing company to credential new physicians into the PhyCare system and to ensure current physicians are up to date in their credentials of Beacon Health, Medicare, and Medicaid.
- Functions as facilitator between the Department of Psychiatry and State Hospitals for referrals.
- Duties include transmission of application with attachments; scheduling of transfer date; communicating with patient’s attorney and appropriate transfer of patient with necessary paperwork.
- Notarizes when required.(if qualified)
- Provides cross-coverage for the Senior Office Coordinator
- Additional responsibilities as required by the Chair and as are customarily incumbent upon an Administrative Coordinator.

Administer Metrics residency management platformCoordinates interviewing process for residency applicants on an annual basisCoordinates all activities related to onboarding and orientation for all new residents on an annual basisCoordinates daily activities of the residency program (attendance; activities reimbursement, purchasing; etc.)Plans departmental / residency annual events (graduation, retreats, etc.)Maintains all residency program related databases (GME track; ACGME ADS; ABPN pre-cert; etc)Requirements
