Position Summary :
The Education & Events Manager is responsible for developing and planning logistics for the Geosynthetics Conference and colocations, collaborations, Upholstery & Trim Annual Convention, Marine Fabricators Conference, and other smaller workshops, including site selection and venue RFPs, reviewing hotel contracts with VP of Events, Marketing and Sales, budgets, meeting planning timelines, marketing timelines, registration pricing, keynote speakers, food and beverage, audio visual, room block tracking, room sets, special events, surveys, attendee communications, exhibit management and final reports. Works directly with member groups and committees to create education schedules. Plans and executes activities at other ATA events as requested.
Duties and Responsibilities :
- Serves as the lead meeting planner for the following events :
- Geosynthetics Conference including Geotechnical Frontiers and collocated shows
- Upholstery & Trim Annual Convention
- Marine Fabricators Conference
- Other workshops as assigned
- As lead meeting planner, responsibilities include :
- Works with member groups team and committees on overall event strategy and education content.
- Researches and creates budgets for the following year.
- Develops meeting planning timeline and schedules initial meetings with event stakeholders to discuss the timelines.
- Sells exhibits, develop / sell / fulfill sponsorships for UTAC, Marine Fabricator Conference and workshops.
- Monitors revenue and expenses and reports on budget projections to VP of Events, Marketing and Sales and member groups team.
- Creates RFPs for future events and distributes to venue resources. Research and recommends sites for future events.
- Reviews venue contracts with VP of Events, Marketing and Sales to ensure proper room block sizes, meeting spaces and food and beverage minimums.
- Tracks and monitors hotel room blocks. Makes recommendations for additional promotions to help meet room block requirements.
- Supports marketing with necessary content for effectively promoting all events. Provides talking points to assist marketing in writing promotional emails and content.
- Reviews current registration / exhibit rates and revenue and makes recommendations for changes for future events.
- Researches and secures Keynote Speakers and coordinates keynote speaker travel and schedule to the event.
- Maintains positive working relationship with venues and uses function sheets to coordinate room sets, food and beverage and audio-visual needs.
- Researches and presents special event options to event stakeholders for decisions.
- Works in tandem with appropriate ATA staff to create, send out and analyze surveys for events.
- Works with marketing team to write and / or review attendee communications including confirmation letters and Know-Before-You-Go emails.
- Works with Show Floor Manager to create exhibit floor plan for Geosynthetics Conference and ensures appropriate traffic flow and a floor plan that meets the needs of the event.
- Writes final reports to summarize overall event registrations, room blocks, budget and success.
- Maintains event websites with the most up-to-date information.
- Schedules regular production meetings for event stakeholders to come together for updates.
- Reports regular event updates and issues to the VP of Events, Marketing and Sales and appropriate member groups staff.
- Advanced Textiles Expo
- Serves as the lead coordinator for assigned activities ensuring successful events / programming / activations through budget monitoring and venue execution.
- Assists with onsite registration execution as requested.
Secondary Duties & Responsibilities :
Become fluent with netFORUM software systems, and other internal systems, to provide cross-department support.Assist accounting department with attendee payments, invoices, and refunds processing as needed.Research meeting planning trends and shares findings with Conference Management team.Collaborate with editorial team to provide event content for publications as needed.Prepare and distribute reports as needed.Maintain meeting planning files.Perform other duties as assigned.Requirements :
Minimum 2-year degree and 2-3 years meeting planning experience with knowledge of the hospitality / trade show industry.Strong knowledge and experience with event / meeting planning.Strong interpersonal and collaboration skills with an ability to communicate at all levels of an organization both internally and externally.Ability to work in a fast-paced environment, with multiple and changing priorities while maintaining strong focus on details, execution, and results.Proficient in Microsoft Office, various computer systems, experience with databases or other software system a plus.Proven excellence in customer service role.Travel up to 15%.Ability to lift 50 lbs.
