Job Purpose

The Portfolio and Program Analyst supports the Portfolio and Program Management office by gathering, organizing, and maintaining critical portfolio and program information. This role ensures accurate and timely data collection, reporting, and documentation to enable informed decision-making by Portfolio and Program Managers. The Enterprise Portfolio and Program Analyst will work closely with Portfolio and Program Managers, project teams, and business stakeholders to provide data-driven insights, track key performance indicators, support reporting, and assist the optimization of program outcomes across the enterprise.

Essential Responsibilities

Aggregates, synthesizes, and maintains portfolio, program, and project data from multiple sources.

Creates status reports, and presentations to communicate portfolio and program health and outcomes for management review.

Supports portfolio and program governance processes.

Maintains accurate tracking of portfolio and program milestones, deliverables, and key performance indicators.

Assists in scheduling meetings, preparing agendas, and documenting meeting minutes including key decisions and action items.

Proactively supports risk, issue, and change management processes by maintaining logs and tracking actions.

Coordinates communication among portfolio, program, project teams, and stakeholders.

Ensures documentation is accurate, up-to-date, and accessible.

Assists with resource allocation tracking and budget monitoring as needed.

Ensures portfolio and program documents are complete, current, and stored appropriately.

Creates and maintains schedules, coordination, organization and leads large, complex initiative programs and the associated projects.

Actively seeks and participates in personal and team development opportunities to meet departmental goals.

Ensures adherence to portfolio and program management processes and standards.

Assists in the preparation and distribution of change management communications and materials.

Other Duties

Performs other duties and / or projects as assigned.

Knowledge, Skills and Abilities

Strong organizational and time management skills with attention to detail.

Excellent written and verbal communication abilities.

Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word) and project management tools.

Ability to gather, analyze, and present data effectively.

Strong interpersonal skills and ability to work collaboratively across teams.

Ability to manage multiple tasks and priorities in a fast-paced environment.

Must be able to work independently and as part of a team.

Ability to identify and understand complex problems / issues and develop appropriate action plans from multi-disciplinary perspective.

Maintain confidentiality and professionalism at all times.

Qualifications

Bachelor's Degree or equivalent work experience required.

1+ years portfolio, program or project management experience required.

Experience working with an enterprise project management system preferred.

Experience with technical development and delivery of technical solutions preferred.
