You’ll welcome visitors, clients, and fellow employees, answer phone calls and emails, sort and deliver mail, schedule meetings, make travel arrangements, and assist us with other operations as needed. $45,000 - $50,000 yearly
Responsibilities :
- Assist with other administrative tasks, such as data entry, copying, filing etc.
- Respond to incoming phone calls and emails and make sure the right people receive all important information
- Greet visitors, clients, and fellow employees when they arrive at the front desk and provide them with any necessary directions or information
- Schedule appointments and ensure the business calendar is accurate and up-to-date
- Manage incoming and outgoing mail and handle deliveries
- Keep the front office secure by ensuring all visitors follow the proper sign-in procedures
- Plan for company trips and outings and provide itineraries to ensure off-site activities are a success
Essential Functions
Welcomes visitors by greeting them and informing receiving employeesAssists in ordering, receiving, stocking, and distributing office suppliesMaintains a clean reception area and Sample Room by complying with procedures, rules, and regulationsPrepares labels of express mail services and courier (FedEx, UPS, etc.), and takes packages to our local vendorReceives packages and distributes them by complying with company proceduresRetrieve USPS mail and process per company proceduresResponsible for ordering, receiving, stocking, and distributing office suppliesAssists with projects as neededQualifications :
Displays impeccable interpersonal, time management, organizational, and customer service skillsProficient computer skills and knowledge of Microsoft OfficeHas experience answering telephone calls and troubleshooting stressful situationsAt least one year of receptionist or administrative assistant, experience, or similar preferredProven working experience in similar rolesCompetencies, Skills & Abilities
Must be dependable and trustworthyAbility to be resourceful and proactive in dealing with issues that may ariseAbility to speak and understand English in a manner that is sufficient for effective communication with supervisors, employees, and customers, based on the assumption that such individuals can only speak and understand EnglishAbility to communicate (written and oral) effectively with employees, other lead persons, managers, and customersDemonstrate minimum intermediate skill level in computer literacy in a Windows environment, advanced skill level, and knowledge of the Microsoft Office Suite.Must possess a current, valid driver’s licenseAbout Company
