Secretary For Superior Court Recall Judges
The Passaic Vicinage is seeking a well-organized secretary to work in a fast-paced environment providing support for two Superior Court Recall Judges in the Family and Criminal Division. The selected individual needs strong technical and administrative skills, as well as attention-to-detail, and exceptional organization skills to support both judges. Duties include, but are not limited to : conforming judge's orders and maintaining the workflow in / out of judicial chambers; communicating the judge's schedule with division administration and case management personnel; preparation and submission of local and state reports; management of incoming and outgoing communications, including mail, telephone, case conference calls, and follow-up of same; procuring supplies, equipment, and inventory for chambers, as well as performing any additional duties as required and assigned. Strong computer skills needed for information processing using Judiciary-wide computer systems. Other duties include formatting and typing jury instructions, charges, judicial opinions, and other legal documents; composing routine correspondence, such as form letters or standard replies to inquiries; composing non-routine correspondence; answering inquiries from the public; editing letters, documents, or articles; filing records and serving as liaison between the judge and the case management and operating divisions.
Duties will include, but are not limited to : proofreading typed material for accuracy and correct punctuation, spelling, and grammar. Performing data entry into mainframe systems. Performing formatting and typing changes to judicial opinions and other legal documents. Filing hard copy and electronic records and maintaining a filing system in the Judge's chambers. Other duties as required and assigned. Note : Criminal and Family experience preferred.
Regular and predictable physical presence at the worksite is an essential function of this position.
Three (3) years of experience in an office environment performing a variety of clerical and support services to include keyboarding and one or more of the following : preparing and analyzing legal documents, processing legal or other documents, transcribing information, and scheduling meetings or appointments. Substitution : Successful completion of a clerical training program with a minimum of 700 classroom training hours or 30 semester hour credits in secretarial science may be substituted for one (1) year of experience indicated above. Course work must include typing skills, methods, and procedures; other courses may include, but are not limited to, office procedures, word processing, and business English. Ability to use a keyboard, no minimum speed Note : Knowledge of legal terminology and working knowledge of Microsoft Office is helpful.
Driver's License : Appointee will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle is necessary to perform essential duties of the position. Authorization to Work : US citizenship is not required. Selected candidate must be authorized to work in the US according to Department of Homeland Security, US Citizenship and Immigration Services regulations. Special Note : Newly hired employees must agree to a thorough background check that will include fingerprinting. All data received will be kept in strict confidence except to inform the individual of the findings and what action will be taken as a result of this information. Residency Law : In accordance with N.J.S.A. 52 : 14-7 (L. 2011, Chapter 70), the "New Jersey First Act," all persons newly hired by the Judiciary within one year must establish, and then maintain, principal residence in the State of New Jersey. Any person may request an exemption from that requirement from the Employee Residency Review Committee in the Department of Labor & Workforce Development on the basis of either hardship or employer critical need.
