Position Summary :

Our Billings, Montana office is currently seeking a professional, detail-oriented Receptionist to serve as the first point of contact for clients, visitors, and vendors. In this role, you'll provide a high level of customer service, manage incoming calls, and offer various administrative support services to attorneys and legal staff.

Key Responsibilities :

Client & Visitor Reception : Greet clients, visitors, and vendors in a professional and friendly manner, ensuring a positive first impression.

Phone Management : Answer, screen, and forward phone calls courteously. Take accurate messages when necessary.

Mail and Communication Flow : Direct mail, faxes, deliveries, and other communications to the appropriate recipients promptly.

Scheduling : Schedule and confirm appointments with clients, attorneys, and other relevant parties.

Office Supply Management : Maintain inventory of office supplies and place orders when needed.

Conference Room Management : Oversee scheduling of conference rooms, ensuring proper setup before meetings and cleanup afterward.

Administrative Support : Provide general administrative office support, including faxing, scanning, emailing, copying, and filing.

CLE Support : Book continuing legal education (CLE) courses, events, hotel accommodations, and other reservations as required.

Office Organization : Maintain a clean, orderly, and professional environment within the office.

Additional Duties : Assist with other administrative and office management tasks as assigned to ensure smooth daily operations.

Communication Skills : Strong interpersonal and verbal communication skills to engage effectively with diverse clients, attorneys, court staff, and vendors.

Organization & Time Management : Ability to prioritize tasks, meet deadlines, and manage multiple responsibilities efficiently.

Confidentiality : Maintain the highest level of confidentiality and discretion when handling sensitive client information.

Adaptability : Remain composed in a fast-paced environment and adapt easily to changing priorities.

Efficiency : Proactively seek ways to improve office efficiency, taking ownership of tasks and ensuring accuracy.

Requirements :

Minimum Qualifications :

At least 18 years of age .

High school diploma or equivalent .

0-2 years of administrative or legal office experience .

Working knowledge of Microsoft Office Suite, Adobe, and similar software.

Must be able to read, comprehend, and follow written and verbal instructions.

Valid driver's license and reliable transportation (must be insured in accordance with state law).

Physical Requirements :

Prolonged periods of sitting and repetitive tasks like typing and clicking.

Ability to lift and move light items up to 20 pounds .

Ability to bend, reach, push, pull, lift, and sit for extended periods.
