Job Summary
We are seeking a highly organized and proactive Executive Assistant to support our growing team and ensure smooth day-to-day operations. This role is essential for managing administrative tasks, coordinating schedules and travel, and providing critical support to the firm’s partners and team members. The ideal candidate thrives in a fast-paced environment, is tech-savvy, and has excellent communication and problem-solving skills.
Executive Assistant Responsibilities :
- Manage office operations, including supplies, inventory, mail handling, and process improvements to enhance efficiency.
- Oversee calendars and schedules across multiple locations and time zones, and coordinate travel arrangements for executives and family members.
- Communicate with staff, vendors, and service providers, draft and proofread correspondence, and prepare meeting agendas and notes.
- Assist with financial tasks, such as bill payments, bookkeeping, and capital transactions, while ensuring timely filing of important documents.
- Support HR functions, including onboarding new employees and managing healthcare policy-related tasks.
Executive Assistant Requirements :
Ability to travel within the U.S. for short periods as needed.Minimum of 2-4 years experience.Strong organizational skills with exceptional attention to detail.Proficiency in Google Workspace (Calendar, Sheets, Docs) and quick adaptability to new technology.Excellent verbal and written communication skills, with the ability to manage multiple priorities effectively.Preferred experience in travel coordination, invoice management, and office operations.Executive Assistant Benefits
