We are looking for a passionate Executive Assistant to join our leading team of hospice care professionals and make a difference, by listening, caring, and serving.
Position Summary : The Executive Assistant & Office Manager provides high-level administrative support to the Support Center's executive leadership team while ensuring the efficient daily operations of the Support Center office. This role supports executive-level scheduling, travel, correspondence, and confidential matters while also overseeing Support Center facilities, vendor relationships, supplies, and creating a professional and well-organized environment for employees and visitors.
Essential Duties :
Provides administrative support to the Support Center leadership.Manages executive calendars, meetings, agendas and logistics.Coordinates travel arrangement and prepare detailed travel itineraries.Processes expense reports, vendor invoices, and executive reimbursements.Prepares correspondence, presentation board materials and reports.Oversees daily operations of the Support Center to ensure a professional, organized and efficient workplace.Serves as the primary point of contact for building management regarding maintenance, access, repairs, safety issues and after-hours communication.Orders, maintains and restocks office supplies, beverages, snacks and common-area items.Assists and / or coordinates onsite meetings, trainings, and executive events.Assists with planning employee engagement events, celebrations, and culture-building activities.Assists with research, compiling data and special projects, as needed.Handles highly confidential information with discretion and independent judgment.Performs other duties as assigned.Qualifications :
High School Diploma required; Bachelor's degree preferred.Minimum of 5 years proven administrative experience supporting leadership team.Ability to work effectively with executive management team and building strong working relationships across company.Advanced proficiency in Microsoft Outlook, Excel, PowerPoint, and Teams.Exceptional organizational skills, follow-through, and attention to detail.Ability to manage multiple priorities in a fast-paced environment.Professionalism, discretion, and ability to handle sensitive and confidential matters.Demonstrated ability to proactively solve problems and take initiative.Strong relationship-building skills and customer service orientation.
