Medical Assistant Coordinator

SUMMARY

The Medical Assistant Coordinator is responsible for working with healthcare professionals and medical staff in order to comply with regulatory requirements, office policies, procedures and standards.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Includes but not limited to the following :

• Perform the job functions of a Medical Assistant
• Work with patients and staff members by listening to their needs, engage in positive interactions and follow through in a timely manner.
• Answer phones quickly and courteously, using approved telephone techniques and etiquette.
• Communicates appropriately and clearly to co-workers, physicians and Office Manager.
• Supports and maintains a culture of safety and quality.
• Perform clerical duties (e.g., photocopying, scanning, typing, forms, mailing, faxing, etc.)
• Organize and sanitize rooms, refrigerators and freezers.
• Support in New Hire Training
• Perform all duties of a Medical Assistant and cover Ma's as needed. See Job Description.
• Responsible for the prompt response for all incoming Qualified Medical Examiner reports and appointments, scheduling depositions and Workers Comp case coordination.
• Maintain ongoing tracking and appropriate documentation. Work Comp case work should be addressed in a timely manner, by reviewing and reconciling overdue and / or pending orders in the work queue. QME's and depositions are coordinated via email.
• Cases should be addressed in timely manner, by reviewing and reconciling overdue and / or pending orders in the work queue.
• Assemble information concerning patient's clinical background and referral needs.
• Contact insurance companies to ensure all prior authorization needs are met. Present necessary medical information such as history, diagnosis and prognosis.
• Be the system navigator and point of contact for patients with outstanding referrals, assuring patient is aware of referral by reviewing details and expectations.
• Ensure the patient's chart is up to date with demographics, insurance information, and information on specialist consults; scanning appropriate follow-up documents into system.
• Scans all patient visit documentation into EHR
• Performs other duties and tasks as needed

EDUCATION and / or EXPERIENCE

The employee performing this position is expected to hold a High School diploma. Associates degree strongly preferred. Successful completion of a Medical Assistant Program or six (6) month Nurse Aide Program. S / he must be detail oriented, well organized and computer literate (i.e., experience Electronic Health Record systems, a multiline phone systems and basic software such as Microsoft Windows, Excel, Microsoft Word, etc.) The employee performing this position is expected to be able to work under pressure and in stressful situations and must be able to work quickly when business conditions warrant.

PREFERRED

Bilingual may be required at certain clinics or during certain shifts.

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities.
