Planned Parenthood Northern California (PPNorCal) is seeking an Event and Stewardship Specialist in Concord, CA with flexible telecommuting. This role is full-time, 40 hours per week. Friday : 9 : 00 AM – 5 : 00 PM

Occasional evening and weekend work may be required to support the primary functions of the role. Any adjustments to the regular schedule will be communicated in advance.

SUMMARY

The Events and Stewardship Specialist is a member of a small, highly successful Development team that raises over $14 million annually. The Specialist is accountable for creating a strategic and thoughtful plan for events and stewardship that advances the team’s efforts to maintain and strengthen individual relationships with donors, supporters, and partners. They are responsible for the planning, execution, and management of a wide range of events and developing stewardship communications for donors. This role requires a highly organized individual with strong project management skills, advanced writing and communication skills, event management experience, and a commitment to reproductive freedom and social justice.

As a member of the Individual Giving Team, they implement and support ticketed fundraising events, smaller receptions and house parties, and virtual events featuring the CEO and guest speakers. The Specialist also carries out meaningful stewardship opportunities such as writing donor stories for the annual report, crafting donor stewardship communications, creating marketing materials, and may take on special projects.

This position is currently represented by SEIU Local 1021.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Develops special events strategy, for in-person and virtual events, including ticketed fundraising events, and smaller receptions or “house parties.”
  • Collaborate with the Vice President for Development to conceptualize events that serve to raise revenue and deepen the engagement with the mission of Planned Parenthood Northern California.
  • Manages all aspects of special events including but not limited to : creating parameters and purpose of event, designing invitations, securing venues and food / beverage, decorations and / or centerpieces, establishing layout of the event program, managing the budget, tracking ticket sales and sponsorships, seating / table arrangements and name tags, securing entertainment / speaker and necessary travel or hotel arrangements, filing for permits as needed, and onsite event management.
  • Creates special events revenue and expense budget and works closely to stay within budgeting parameters. Negotiates and secures contracts including pricing and terms with vendors for events from the venue, catering, decorations, entertainment, etc.
  • Working within events management software, perform data entry to manage and track attendees, sponsor, and guest information.
  • Provides support for event committee meetings and trains staff and volunteers.
  • Develop and implement stewardship strategies to cultivate and maintain strong relationships with donors, supporters, and partners.
  • Create compelling and persuasive communications, including event invitations, donor correspondence, stewardship reports, and thank-you letters.
  • Work closely with Graphic Designer to design event materials including logos and other images.
  • Collaborate with Operations team and Database manager to develop reports to support events management, stewardship activities, and donor metrics. Perform data entry in Raiser’s Edge NXT to support tracking and reporting.

  • Possess extremely strong communication (written and verbal), project management and organizational skills required.

  • Must be able to work well with peers, event chairs, board members and volunteers in a team setting.
  • Must have dependable transportation and the ability to travel throughout service area.
  • Must be able to work flexible work schedule with evenings and weekends required.
  • EDUCATION and / or EXPERIENCE

  • Bachelor’s Degree preferred, or equivalent combination of education, training, and experience.
  • Must have at least 3-5 years’ experience in fundraising, customer service, and management of special events.
  • COMPUTER SKILLS

  • Proficiency in Microsoft Office (Word, Excel & PowerPoint) and Zoom required.
  • Experience with Raiser’s Edge NXT or another donor tracking software preferred.
  • Experience with event management software.
  • Knowledge of Canva or other design software helpful.

    Pay Range : Planned Parenthood Northern California (PPNorCal) supports California’s new law (SB 1162) enhancing pay transparency. This new law requires employers with 15 or more employees to include a pay range in job postings. The pay range reflects the compensation that a new employee can expect to receive if offered employment. Employees with more experience, education, and other qualifying factors may be compensated at a higher rate of pay. The pay range for this position is : $68,640.00 to $82,014.40 annualized salary.
