Position Summary :

AAA United States, Inc . has partnered with a company in Mobile, AL that implements the most relevant digital solutions to transform, optimize and secure plant supply chains, manage and oversee inventories, control all logistical flows and meet the current and future challenges of its customers. We are looking for skilled Archiving Clerk to assist with this client's production needs.

The Archiving Clerk is responsible for maintaining, organizing, and managing company records and documents in accordance with internal policies and regulatory requirements.

Essential Functions :

Document Verification & Organization

  • Complete a Document Verification Form for each folder.
  • Verify and check off all mandatory documents (M) listed on the form.
  • Arrange documents in the order specified on the Document Verification Form.
  • Identify and record key identifiers (e.g., “409” number, “810” number, or company name) from the Pack List.
  • Label folders accurately with the identified number or information.

Data Entry & Folder Labeling

  • For “409” or “810” folders, check Goods Receipt for the date and write it on the folder using European date format.
  • Ensure all folder labels are correctly placed on the tab.

    • Physical Filing & Archiving

  • File manila folders in designated drawers (Hub, Outside Vendor, or Outgoing) in numerical order from oldest to newest.
  • When drawers are full, transfer folders to clear plastic bins.
  • Print and complete Archive Labels for each bin.
  • Transport bins to the Archive Room using a rolling cart and shelve in numerical order

    • Requirements

  • Strong attention to detail and organizational skills.
  • Ability to follow structured processes and maintain accuracy.
  • Basic computer proficiency for file renaming and digital archiving.
  • Familiarity with document scanning equipment and workflow processes.
  • Ability to manage physical filing systems efficiently
