Dispatch Clerk

Under the direct supervision of the Dispatch Supervisor, the Dispatch Clerk performs clerical duties in an office setting in support of the Dispatch Department. Assists the Dispatchers by filing, answering phones, and providing clerical support to the Dispatch Department.

Responsibilities :

  • Records participants' transportation services in automated system Monthly Service Utilization Review (MSUR).
  • Assists in calling participants who pressed Option 1 "Will Not Attend" or who did not press and option to confirm attendance to the Center.
  • Updates Dispatch Report to forward to the Interdisciplinary Team for the IDT Morning Meeting before 8 : 30 every business day.
  • Updates a variety of periodic and special reports, (e.g., Special Trips Report) that may require gathering of information from different sources, compiling such data and arranging into proper format.
  • Retrieves One-Call Message Reports for Daily Attendance and Appointments (Spanish & English), exports from One Call and import to One-Source Call Logs.
  • Files Transportation Requests, Data Changes, logs, and other record materials according to an established filing system; retrieves files and creates new files as required.
  • Verifies family or self-transport routes on the scheduling system.
  • Handles incoming / outgoing faxes and distributes appropriately.
  • Uses a variety of standard office equipment such as a fax machine, copy machine, scanner, calculator, etc.
  • Assists with coverage, as necessary, for other members of the Department due to vacancies or absences to avoid backlogs and delays.
  • Completes projects and performs other duties as assigned by immediate supervisor, or department manager.

Qualifications / Requirements :

  • High School Diploma or equivalent.
  • One to two years of office / clerical work experience.
