OFFICE ASSISTANT
DEPT : SCHOOL OF PSYCHOLOGY & MARRIAGE AND FAMILY THERAPY
REPORTS TO : DIRECTOR OF ADMINISTRATION

STATUS : Work Study
PRINCIPAL DUTIES / RESPONSIBILITIES :
- Assist Director of Administration with various tasks including, but not limited to, tasks related to facility upkeep and care, room reservations and scheduling,
- Assist with OFA processes and honorariums.
- Assist with SoPMFT events including Hooding, SoPMFT Picnic, Interview Days, Retreats, etc.
- Assist faculty with various requests
- Sit at front desk; provide hospitality, and provide support to walk-ins and guests
- Maintain office, kitchen and copy room supplies. Maintain lobby, and shared spaces.
- Create announcement slides for the video monitors in the SoPMFT Lobby and in the hallway near classrooms.
- Sort daily mail
- Recruitment of clinical and MFT client actors for clinical training
- Coordinate, update and send out the bi weekly email announcements
- Hang, and clean bulletins on pillars in Breezeway
- Miscellaneous office tasks (must be approved in advance by the Director of Administration)
- Create faculty profiles in Banner
- Adding student employees to Banner
- Assist with Comprehensive exams for the Clinical Psych program
OTHER RESPONSIBILITIES :
Assist DCT office with various tasks and processesAssist Chairs with various tasks requestsAssist the Chair of Integration with communication with the speaker of the Integration Symposium and its respondents. Also, assist the speaker with copying of documents, etc. for their lecture. And process the Travis award papers. Lastly, assist with any tasks that may arise the days of the eventKnowledge and Skills Required :
Bachelor’s degree requiredMinimum two to three years office experience, preferably in an academic settingMaintain the highest level of integrity and professionalismAbility to determine appropriate behavior in varied circumstancesExceptional organizational skills with meticulous attention to detail within a big-picture contextExcellent interpersonal skills, ability to interact pleasantly with individuals from many culturesExcellent oral and written communication skillsAbility to look ahead, anticipate, and solve potential problemsAbility to balance multiple projects and prioritize as neededAbility to maintain a positive customer service attitude in challenging situationsHigh proficiency in Microsoft Word and Excel, and with Gmail / Google AppsHandle regular interruptions to serve the needs of others while maintaining focus on multiple priorities and short- and long-term deadlinesAdditional Remarks :

Hourly rate the seminary expects to pay : $19.00 per hour
