Purpose : Under the direction of the Business Office Manager, the Surgery Scheduler is responsible for organizing and maintaining the Operating Room (OR) scheduling systems. Carries out all duties while maintaining compliance and confidentiality and promoting the mission and philosophy of the organization.

Essential Functions :

  • Organizes and maintains the OR scheduling systems.
  • Greets patients and visitors, acting as a customer service representative and assisting patients and their families during their visit.
  • Completes entire admitting process for patients.
  • Oversees daily charts and schedules.
  • Answers incoming phone calls.
  • Schedules appointments and confirms patient arrivals.
  • Collects co-pays and other payments at time of service.
  • Verifies insurance information and assist with patient forms.
  • Maintains accurate and confidential patient records.
  • Communicates effectively with clinical and administrative teams.
  • Performs general office duties.
  • Demonstrates respect and regard for the dignity of all patients, families, visitors, and fellow employees to ensure a professional, responsible, and courteous environment.
  • Adheres to all company policies, including but not limited to OSHA, HIPAA, compliance, and Code of Conduct.
  • Regular and dependable attendance.
  • Follows the core competencies set forth by the Company, which are available for review on ARC SharePoint.
  • Performs other duties as assigned in a timely and accurate manner.

Qualifications :

Education and Experience :

Required :

  • High school diploma or GED.
  • Two (2) or more years' clerical medical office experience.
  • Preferred :

  • ASC experience
  • Certificate / License :

  • Microsoft Office Specialist certifications preferred.
  • Knowledge, Skills and Abilities :

  • Excellent verbal and written documentation and communication skills.
  • Ability to work variable hours and be flexible to meet the needs of the center's daily surgery schedule.
  • Ability to read, analyze and interpret general business information, or governmental regulations. Ability to write reports and business correspondence. Ability to effectively present information and respond to questions from groups of managers, clients, patients, physicians and the general public. Excellent interpersonal and communication skills.
  • Ability to effectively communicate figures and amounts.
  • Ability to define problems, collect data, establish facts and draw valid conclusions.
  • Ability to effectively communicate with others, including physician offices, insurance companies, patients, co-workers, and others about insurance benefits and costs associated to procedures.
  • Knowledge of medical terminology.
  • Excellent customer service skills.
  • Excellent computer and keyboarding skills, including familiarity with Windows and EMRs. Must be adept at using various applications including database, spreadsheet, report writing, project management, graphics, word processing, presentation creation / editing, communicate by e-mail and use scheduling software.
  • Excellent interpersonal and problem solve skills.
  • Ability to work in a team environment.
  • Ability to engage others, listen and adapt response to meet others needs.
  • Ability to perform job duties in a professional manner at all times.
  • Ability to align own actions with those of other team members committed to common goals.
