THE OPPORTUNITY (POSITION OVERVIEW)
The Deputy Director of Data and Compliance is a supervisory position that reports to the Chief Integration Officer. In this role, the Deputy Director will work closely with School / Program administration to provide management and technical assistance for a range of critical functions. These include attendance accountability measures, Average Daily Attendance (ADA) reporting compliance, student records audits for classroom-based and independent study programs , oversight of the Student Information System (SIS), and general data reporting. Additionally, the Deputy Director will provide guidance on state regulations pertaining to enrollment, student records, and independent study .
The Deputy Director of Data and Compliance regular work hours are Monday through Friday and on additional days and times as needed to participate in iLEAD functions and career learning opportunities.
WHAT YOU WILL DO (DUTIES AND RESPONSIBILITIES)
Reporting and Compliance :
Facilitate the timely completion, review, and approvals of site attendance reporting.
Calculate and submit ADA Reporting (P1, P2, P3) for all California schools within timelines.
Support Finance with ADA providing data analytics.
Coordinate / complete J13 forms as needed.
Complete PENSEC and any additional attendance / enrollment related reporting.
Provide guidance on independent study / studio operations to maintain state and authorizer compliance and audit files and processes as necessary for compliance. Including but not limited to : instructional minutes / schedules, HDC forms, FTE ratios, unduplicated counts, enrollment and all things related to independent study compliance.
Ensure all student records practices are in compliance with California Education Code, FERPA, and school policies.
Prepare all student records for audit and ensure compliance for all schools.
Support the development of site processes and procedures regarding student data and records.
Provide current and historical data analytics to leadership.
Designs and executes specialized queries and reports using Excel, student information systems and / or other applications to provide information to schools and leadership.
Collect, analyze and interpret data, organize report material, translate technical material and data into user friendly language.
Create and maintain school and staff calendars ensuring compliance.
Attend professional development in support of maintaining compliance, reporting, and continuous improvement.
Maintain knowledge of and interpret applicable sections of laws, codes, regulations, and policies related to student records, enrollment, and attendance.
Oversight of HDC forms and SUNBUCKS and verification process.
SIS Management :
Works collaboratively and in conjunction with CALPADS / SIS Coordinator & Specialist when applicable.
Responsible for the security / permissions in the database.
Work with administration on data including reports necessary for the state, rosters, report cards, and troubleshooting.
Work with SIS vendor to integrate new modules or third-party integration with SIS.
Implementation, training, and oversight of SIS platform.
Work with administration to prepare mass data imports for new scopes within prescribed time frames.
Point of contact for the support of SIS to the school, as well as training the appropriate school staff for optimal use as it relates to attendance and compliance.
Provide support and services to schools through ticketing system.
Imports test data into student information system.
Coordinates and monitors student registration, enrollment, report cards, transcripts, absences, etc. for the purpose of ensuring efficient and effective operations of the student information system and compliance with applicable legal requirements.
Audit a variety of data for accuracy and completeness; compare data and identify errors and discrepancies, make corrections and modifications as needed with the school sites.
Support operational implementation of state testing (SBAC, TOMS), including student rostering and accommodations
Oversight :
Supervise all members of Data / Compliance Team.
Meet regularly with CIO to update on team status.
Ensure all SIS workings are in compliance.
Ensure all state reports are submitted on time.
Develop and maintain quick reference guides outlining standardized operational procedures for team.
Implement and manage a compliance calendar.
Maintain comprehensive compliance records (electronic and physical) per district, state, and
federal guidelines

ESSENTIAL FUNCTIONS

WHAT YOU WILL BRING (QUALIFICATIONS)
Bachelor’s degree or equivalent work experience.
Minimum ten years of professional work experience in California school operations and / or state reporting.
Experience completing State Requirements for ADA reporting and Independent study compliance .
Minimum seven years of experience managing Student Information Systems and / or CALPADS.
Strong attention to detail and organizational skills.
Ability to interpret and apply laws and regulations.
High level of discretion with sensitive information.
Knowledge of : California Education Code and related compliance areas, FERPA, and student privacy rights.
