Job Description

Summary : The Team Administrator is responsible for, but not limited to, providing administrative support to ensure efficient operation of the office. This position performs duties such as Social media management, database management, sales related research, mailings, event logistics, event prep, product / inventory management, expense report generation, sales material management, CRM management, scheduling meetings, travel arrangements, restaurant reservations, exhibits polite and professional communication via telephone, email, and mail; performs tasks related to organization; calls for equipment repairs, maintains supplies and contributes to the team by accomplishing results as needed. This position deals with a diverse group of internal and external stakeholders (employees, customers, visitors, vendors) and utilizes independent judgment to plan, prioritize and organize a diverse workload.

Responsibilities include, but are not limited to :

  • Answers and directs phone calls.
  • Organizes and schedules appointments.
  • Writes and distributes email, correspondence memos, letters, faxes, and forms.
  • Assists in the preparation of regularly scheduled reports.
  • Develops and maintains a filing system.
  • Orders office supplies and places in proper storage space.
  • Maintains contact lists.
  • Assists with client events as requested.
  • Books travel arrangements, restaurant reservations.
  • Acts as the point of contact for internal and external clients.
  • Assists with social media management.
  • Conducts sales research and manages the CRM database.
  • Responsible for expense report generation.
  • Responsible for sales material management.
  • Calls for repairs when needed on equipment.
  • Calls IT for assistance relating to computer, Internet and Phone access, issues, or problems.

Other Requirements :

  • Assists with corporate promotions when needed.
  • Develops promotional materials.
  • Develops and orders business card orders.
  • Assists with sales meeting planning and organization.
  • When needed, assists with other general administrative needs of the company.
  • Regular & consistent Attendance – present in the workplace. Face-to-face interaction and coordination of work with other employees. Access to paper documents or other tools only located inside the workplace.
  • Other duties as assigned / requested.
