Administrative Assistant
We are looking for an Administrative Assistant to join our team on a contract basis in Santa Barbara, California. In this role, you will provide essential support to multiple directors, ensuring smooth daily operations and contributing to various projects. This position requires strong technical skills, attention to detail, and the ability to manage tasks independently.
Responsibilities :
Assist three directors by managing schedules, preparing documents, and coordinating communications.
Create promotional materials such as flyers using Canva and manage event registration processes.
Oversee day-of-event logistics, ensuring all aspects run smoothly.
Utilize Google Suite tools, including Docs, Sheets, and Drive, for document preparation and data management.
Manage Zoom meetings and provide technical support when needed.
Handle administrative tasks such as answering inbound calls and performing receptionist duties.
Maintain accurate data entry and documentation using Adobe PDF tools.
Collaborate with team members to ensure deadlines are met and project goals are achieved.
Independently learn and adapt to new tools and processes to enhance efficiency.
Provide critical attention to detail while toggling between multiple platforms and tasks.
Requirements :
Minimum of 1 year of experience in administrative or office support roles.
Proficiency in Google Suite tools, including Docs, Sheets, and Drive.
Strong technical skills and ability to navigate software such as Zoom, Canva, and Adobe.
Excellent organizational and multitasking abilities to manage multiple priorities.
Independent learner with the ability to adapt to new processes quickly.
Attention to detail and critical thinking skills to ensure accuracy in all tasks.
Experience creating promotional materials and managing event logistics.
Strong communication skills for effective collaboration and customer service.
