The Bilingual Project Administration Support EWS (Education and Workforce Solutions) reports to the CS EWS Canada Manager and provides administrative support to the EWS Service Business Manager, Project Manager, and Country Manager. This position is responsible for ensuring assigned tasks are carried out efficiently, systematically, and to a high standard. The role involves regular internal and external communication in both English and French, supporting multiple business lines, and maintaining diligent oversight of assigned projects and deliverables to ensure exceptional service to both customers and the team.
Responsibilities
- Coordinate and schedule training sessions, ensuring each is accurately booked against the correct projects and associated notifications.
- Manage the dispatch of Clinical Education Specialists (CES) for ongoing assignments, excluding new project deployments.
- Prepare and issue timely notifications for CES assignments, ensuring all stakeholders are informed.
- Maintain and update internal schedules for Biomed training, including booking sessions and registering new training in GAMA.
- Provide regular and concise updates to internal teams regarding project and training status, ensuring alignment across departments.
- Maintain precise and up-to-date documentation of customer signoffs in accordance with company standards and audit requirements.
- Conduct and document skills checklist reviews and prepare detailed audit reports.
- Perform time sheet reconciliations to ensure accuracy in payroll and project tracking.
- Process and correct time sheet entries in SAP to maintain accurate reporting and compliance.
- Provide regular and concise updates to internal teams regarding project and training status, ensuring alignment across departments.
- Manage daily email correspondence with customers, providing timely information on training offerings, schedules, and available support.
- Respond to customer inquiries with professionalism and accuracy, ensuring a positive client experience.
- Maintain clear and consistent communication with the CES team, ensuring all members are informed of daily updates, schedule changes, and project developments.
- Facilitate information flow between internal teams and external stakeholders to support efficient operations and high-quality service delivery.
Required Knowledge / Skills, Education, and Experience
Bilingual : English / FrenchSuccessful experience in a Customer Service administrative or supporting positionExcellent organization, time management, and multitasking capabilities managing calendars, files, appointments, and emails with accuracy and efficiencySuperior communication skills (written and oral) and ability to effectively communicate with stakeholders at many levels within and outside of the organizationStrong problem-solving skills, resourcefulness, and the ability to identify and address issues proactivelyAttention to detail : Ensuring accuracy in correspondence, data entry, and documentationAbility to thrive as a member of a collaborative, cross-functional teamCompetent knowledge of all MS Office Applications and Online Collaboration toolsPreferred Knowledge / Skills, Education, and Experience
