Position Overview
The Seasonal Office Assistant will help coordinate job files, assist with scheduling, manage customer communications, and support field teams with documentation needs. This role requires attention to detail, professionalism, and the ability to work in a fast-paced environment.
Key Responsibilities
Answer incoming calls and direct to the appropriate department or team memberGreet customers, clients, and vendors professionally (in person and by phone)Prepare, update, and organize job files for water, fire, and mold projectsSchedule and confirm appointments for estimators, technicians, and project managersUpload, review, and maintain documentation in company softwareAssist with data entry, filing, and report preparationCommunicate with insurance companies and adjusters as neededSupport management with administrative tasks as assignedQualifications
Previous administrative, office assistant, or customer service experience preferredStrong organizational and time management skillsProficient with Microsoft Office and basic computer applicationsClear and professional communication skills (written and verbal)Ability to handle sensitive information with confidentialityComfortable working in a team environment with shifting prioritiesPhysical & Work Environment Requirements
Primarily office-based with occasional movement between office and warehouse areasAbility to sit for extended periods and use a computer for most of the dayOccasional lifting of up to 15 lbs (files, office supplies)Schedule & Term
