Position Summary

The Executive Assistant will perform diverse administrative duties for members of Bridgespan's management team in support of its work with clients and internal teams. This role will support Partners in our Washington D.C. satellite office, which is in a broader coworking space, as well as take on office support responsibilities. The Executive Assistant is an integral member of the Bridgespan administrative team and collaborates with other EAs to provide the best support and coverage possible for Bridgespan's executive staff. This is an excellent opportunity to be part of a high-functioning administrative team while gaining a comprehensive understanding of the nonprofit sector.

Responsibilities

Communications

  • Act as representative and extension of your partners in communication with clients and internal colleagues
  • Work with clients directly on behalf of partners to schedule meetings
  • Draft and proofread letters, memos, documents, presentations, and reports as requested
  • Track correspondence and contact with key client relationships in client relationship management system
  • Help to coordinate and track communication with existing and potential clients around TBG publications and social sector research in the TBG CRM system

Calendar Management

  • Schedule meetings with internal and external stakeholders
  • Proactively resolve conflicts and prioritize commitments
  • Help partners prioritize and process new demands on their time
  • Arrange conference rooms, catering, presentation materials, and technology as needed for meetings
  • Travel

  • Coordinate domestic and international travel arrangements, including air, train, hotel, and ground transportation, and compile itineraries
  • Provide logistic support to team of individuals that is traveling (e.g., provide maps between locations, make group dinner reservations, etc.)
  • Where needed, help with procurement of visas and identifying other necessary pretravel prep (e.g., vaccinations)
  • Office Facilities Management Responsibilities

  • Manage day-to-day office facilities
  • Oversee all facilities and usage in the Washington D.C. office space to keep things running smoothly
  • Coordinate in office event planning, work with building management to book conference space for both internal meetings and for clients using our space
  • Assist with planning in office events for employees and clients
  • Ensure timely response to address any urgent facilities-related issues
  • Ensure that safety measures are in place, including fire safety protocol and related staff assignments for drills
  • Liaise with building management, security, and janitorial services
  • Interface with vendors and negotiate contracts
  • Provide and keep track of access passes and storage
  • Maintain office / kitchen efficiency by planning and implementing systems, layouts, and equipment procurement / maintenance
  • Other Responsibilities

  • Compile and submit monthly time and expense reports for partners
  • Work with staff, venues, and vendors to coordinate complex meetings, convenings, team retreats, and social events
  • Collaborate with other EAs and provide back-up support
  • Assist internal teams with tracking correspondence and data
  • Perform research and marketing support related tasks as needed
  • Provide ongoing support to the team across several office functions
  • Qualifications

  • Bachelor's Degree is preferred
  • 5+ years of experience providing direct administrative or program support to organizations and senior executive's organizations and at least 1 year of office management experience
  • Experience providing support in a professional services or strategy consulting firm is preferred
  • Comprehensive knowledge of relevant applications such as Microsoft Outlook, Teams, Word, Excel, and PowerPoint, Zoom, Google Suite and the ability to learn new technology quickly, is required
  • Must be highly adaptive to management styles and changing needs, reprioritizing tasks and projects as needed
  • Outstanding written and verbal communication skills are required, must have an articulate, diplomatic, professional and highly responsive communication style
  • Must be able to work both independently and as an integral member of various teams
  • Strong organizational skills and attention to detail
  • Ability to meet deadlines, prioritize assignments, juggle multiple tasks simultaneously and deal with highly confidential information
  • Interest in and enthusiasm for the nonprofit sector and the administrative field
  • Commitment to strong performance, high standard of accountability, and openness to feedback
  • Must have a solution-oriented approach to conflicts
