Our rapidly-growing construction industry client in Pasadena is seeking a dynamic Office Manager to join their team. This role is pivotal in ensuring smooth daily operations, supporting company partners, and driving efficiency across administrative and project functions. Maintain filing system to keep company records organized and accessible
Oversee daily office operations ensuring efficiency and productivity
Prepare contract reviews, certificates of insurance, and customer credit evaluation requests
Respond to customer inquiries with professionalism and accuracy
Manage accounts payable, receivable, and collections to support financial health
Plan meetings including conference room setup and conference call coordination
Assist with payroll and workers compensation processes
Coordinate project submittals and handle special projects as needed
Answer and direct phone calls, manage mail, and oversee office supplies / vendors
Recruit, supervise, and evaluate administrative staff including performance reviews and discipline
Proven experience as an office manager in the construction industry
High school diploma required; Associate’s or Bachelor’s degree preferred
Proficiency in Microsoft Excel and QuickBooks
Excellent written and verbal communication skills
Strong leadership abilities with attention to detail
Dispatching experience strongly preferred
Certified Payroll Specialist designation is a plus
