Job Overview

Under the supervision of the Director of Admissions, the Coordinator of Admissions is responsible for managing the planning, scheduling, and coordination of client admissions and discharges for the facility’s Substance Use Disorder (SUD) and Mental Health (MH) treatment programs. The coordinator also serves as an Admissions Counselor, conducting pre-admission screenings, scheduling intake appointments, assessing client appropriateness and eligibility, and completing all required admission documentation. Placement is determined based on Eva’s Village admission and exclusion criteria, as well as the level of care guidelines established by the New Jersey Substance Abuse Monitoring System (NJSAMS).

Duties and Responsibilities

  • Manages client pre-admission screenings, intake appointments, admissions into treatment programs, and discharge scheduling.
  • Possesses an understanding of confidentiality rules and regulations related to 42 C.F.R. Part 2 and HIPAA standards.
  • Must be able to work independently and complete assignments with minimal supervision.
  • Good interpersonal and customer service skills required.
  • Must maintain a professional demeanor and perform duties effectively in stressful / emergency.
  • Must be able to maintain objectivity and deal diplomatically with all callers to the Admissions Department
  • Maintains statistical data for the Admissions Department, including information on client referral sources and local, state, and federal funding sources.
  • Assists as directed in the development and implementation of outreach efforts with public and private programs and social services agencies.
  • Participates in administrative and clinical staff meetings within the agency.
  • Maintains effective interdepartmental communications.
  • Performs other duties, assignments, and responsibilities as deemed necessary and / or identified by their direct supervisor.

Duties as the Admissions Counselor :

  • Conducts pre-admission telephone screening interviews with all prospective clients and / or identified referral sources seeking admission to Eva’s Village Substance Use Disorder (SUD), Mental Health (MH), and / or Co-Occurring treatment programs.
  • Evaluates prospective clients during pre-admission telephone screenings for psychological, social, and physiological signs and symptoms of substance use disorders (SUD), Mental Health (MH) disorders, and / or Co-Occurring Disorders.
  • Determine individuals’ appropriateness and eligibility for program admission and / or referral.
  • Identifies any coexisting conditions (e.g., medical, psychiatric, or physical) that may require additional professional assessments and / or supportive services.
  • Adhere to all applicable laws, regulations, and agency policies & procedures governing substance use disorder, mental health, and / or co-occurring treatment services.
  • Assess prospective clients using the Addiction Severity Index (ASI).
  • Complete and compile the following screening / assessment tools for the clients Electronic Health Record, as per the New Jersey Substance Abuse Monitoring System (NJSAM)
  • o Level of Care Index (LOCI)

    o Diagnostic and Statistical Manual of Mental Health Disorders-Text Revision (DSM-5-TR)

    o Daise

    o Admission Module

    o Clinical Authorization.

  • Provide orientation to the prospective client on the agency's policies, business hours, fee schedules, service provisions, client rights, criteria for admission, treatment, and discharge.
  • Maintains up-to-date knowledge of current and available community resources.
  • Manages time effectively and prioritizes work demands appropriately.
  • Answer incoming phone calls and respond to emails in a timely and professional manner.
  • Handles client and customer inquiries via phone and email.
  • Conducts follow-up calls with clients and referral sources as needed.
  • Qualifications & Experience

  • Bachelor’s degree in counseling, social work, or other human services required.
  • Master’s degree in counseling, social work, or other human services field preferred.
  • CADC required, LCADC preferred
  • 1-5 years’ experience in substance use disorder and / or mental health treatment field
  • Knowledge of substance use disorder and mental health disorder treatment.
  • Knowledge of prevention, treatment, and recovery supports services and resources.
  • Knowledge of the bio-psychosocial model, DSM-5-TR Mental Health Disorders and Diagnosis
  • Knowledge of the American Society of Addiction Medicine (ASAM) criteria
  • Understanding confidentiality rules and regulations related to 42 C.F.R. Part 2 and HIPAA.
  • Ability to speak, read, and write English.
  • Must be able to work independently and complete assignments with minimal supervision
  • Good interpersonal and customer service skills required.
  • Must maintain a professional demeanor and perform duties effectively in stressful / emergencies.
