Our client is currently seeking a Front Office Coordinator
This is onsite in Boston, MAMust be able to make a Tuesday through Saturday shift work
This job will have the following responsibilities :
- Perform all opening and closing duties with accuracy
- Administrative support to managers and owners
- Support medical providers and medical estheticians to ensure clinic runs smoothly and effectively
- Consistently manage schedule to ensure appointments are booked properly
- Check In / Check Out all patients with accurate payments
- Answer phones and schedule patients, including making confirmations, outreach, and follow-up calls
- Consistently follow-up with new patient inquiries
- Create, organize, prepare and maintain paper and electronic patient records
- Knowledge of all policies, procedures, treatments, packages, pricing, essential paperwork, and special promotions
- Knowledge of Alle', Care Credit and Aspire a plus
- Communicate effectively and consistently any pertinent information to staff and owner / manager, and delegate appropriately
- Assist with weekly inventory
- Perform accurate Close Out Reports, daily
- Other duties, as assigned
Qualifications & Requirements :
Medical Spa Industry Experience : 2 yearsLeadership Skills : Highly motivated self-starter with a pleasant and positive personality, excellent interpersonal communicationExperienced in exceptional high-end customer service with strong sales experienceHigh attention to detail with strong math skillsMust be tech savvy, with competency in Microsoft Windows Suite (Excel and Word)Experience with Mindbody Software a plusPresents in a professional, groomed, and well-dressed mannerExtremely organized and a quick problem solverAbility to accurately multi-task in a busy environmentExceptional time management skillsKnowledgeable of medical aesthetic services with a passion for skin careDesire to grow, learn and adapt quickly
